Administrative Assistant

Administrative Assistant – Part-Time (Local to Lake County, IL) for Trecartin Insurance Group

Location: Must be within reasonable driving distance of Libertyville, Vernon Hills, Schaumburg, and Arlington Heights IL area.
Hours: 5–10 hours per week. Hours are flexible but may increase to 10-15 hours during some weeks (typically once per month). Opportunity for increased hours over time.

Pay: $16–$18/hour with pay increases over time

About Us:

Hi there! My name is Caroline Trecartin, and I am the owner of Trecartin Insurance Group, a Medicare-focused insurance agency serving the northern suburbs of Chicago. I’m looking for a reliable, local assistant to help with appointment setting, seminar support, and day-to-day administrative tasks.

We’re seeking a detail-oriented Administrative Assistant to support a growing Medicare-focused insurance agency. This role includes CRM management, client outreach, appointment setting, and occasional in-person event support (typically 2–4 times per month). If you enjoy staying organized, communicating with people, and working in a mission-driven environment, we’d love to meet you. This role is ideal for a college student or recent graduate seeking flexible, part-time work, but all qualified applicants are encouraged to apply.

Note: This role is approximately 80% remote and 20% in person (in-person support is primarily for seminars).

Responsibilities:

  • Enter and update client information in a GoHighLevel CRM
  • Call and confirm RSVP attendance for upcoming Medicare seminars
  • Attend seminars 2–4x per month (typically in Wauconda, Libertyville, Vernon Hills, Schaumburg, or Arlington Heights)
  • Greet guests, hand out and collect materials at seminars
  • Set appointments
  • Assist with folder preparation and seminar materials (especially if local to Mundelein)
  • Perform other administrative tasks as needed (mostly data entry in CRM).

Requirements:

  • Strong organizational and communication skills
  • Friendly, professional demeanor
  • Detail Oriented
  • Comfortable making outbound reminder calls
  • Ability to reliably attend in-person events a few times per month
  • Previous administrative or CRM experience preferred
  • Preferred: Familiar with GoHighLevel CRM
