Academic Registrar

OVERVIEW:
The Registrar supports the academic administration and pedagogical effectiveness of Augustine Classical Academy. He/she is responsible for academic scheduling, student information system management, standardized testing, academic records and reports, curriculum review and management, and dual credit offerings.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Academic Scheduling
Create annual Logic/Rhetoric schedule, compatible with Grammar School schedule, with guidance from upper school and grammar school principals.
Collaborate with administrative team to update annual academic calendar and upload to website.
Compile and communicate important dates and deadlines to teachers.
Update administrative timeline documents annually.
Create teacher duties schedule with input from principals.

Student Information System (SIS) Management
Set up K-12 courses annually in SIS (sections, teacher class assignments, student class assignments, configuration of gradebooks).
Create and enter period codes for courses.
Generate and archive report cards and progress reports each trimester.
Train teachers for portal tasks, including assignment creation, entering grades, parent communication, progress comments, and saving report cards.
Close the school year after archiving report cards, progress reports, and gradebooks.

Academic Records, Reports and Assessments
Track completion and accuracy of academic records and reports including gradebooks, report cards, and progress reports.
Produce academic records for students as requested from other K-12 schools or colleges.
Keep records of graduation credits earned and courses needed for each upper school student.
Ensure timely distribution of report cards and progress reports.
Coordinate Classical Learning Test (CLT): schedule CLT tests, order materials, train staff, manage organization and distribution of materials. Compile and communicate CLT scores and interpretive guidance to teachers and parents.
Manage record-keeping of standardized testing results along with CLT results.

Curriculum Review, Ordering and Inventory
Annually update curriculum maps for K-12 grade levels.
Oversee K-12 curriculum and classroom supplies ordering.
Track curriculum and supplies expenditures in partnership with Business Operations Manager.
Oversee end-of-year curriculum and supply inventory with support from principals.

Dual Credit Courses
Identify tasks and deadlines for the annual recertification process.
Finalize list of teachers and courses that may be eligible.
Ensure completion and submission of paperwork by deadlines.

Other
Manage ClassicalU, ACCS, and SCL memberships.
Assist with ACCS accreditation process as needed.
Perform other academic administration duties as assigned.

ESSENTIAL SKILLS AND EXPERIENCE:
Bachelor’s degree in education, business administration, or related degree. Three to five years of relevant experience. Proficiency in student information systems (SIS), degree audit tools, and general office software. Strong leadership, organizational, data management, and problem-solving skills. Adept at interpersonal and written communication. Commitment to classical Christian education and ACA mission. Evidence of mature Christian faith and ability to affirm ACA Statement of Faith and Employee Standards of Conduct.

SALARY AND BENEFITS
Salary: $50,000–60,000 depending on experience and qualifications.
PTO: Four full days per year (in addition to days the school is closed).
Sick Leave: Six full days per year.
Partially sponsored health, dental, and vision insurance plans (60% for full-time employees and 50% for dependents).
Life insurance: $25,000.
