Position Overview
We are seeking an energetic and detail-oriented Chiropractic Front Office Specialist to lead patient experience and front office operations in a growing, patient-centered practice. In this vital role, you will serve as the first point of contact for patients and visitors, ensuring a smooth and welcoming experience from the moment they walk through our doors.
The ideal candidate is professional, personable, proactive, and comfortable guiding patients through scheduling, care, and financial conversations. Experience with medical administrative support, insurance verification, and electronic health record (EHR) systems will be essential in maintaining efficient clinic operations.
This position will begin as part-time with a clear opportunity to grow into a full-time role based on performance and clinic needs. There will also be opportunities to support practice growth initiatives, including patient engagement and community outreach. This position offers the opportunity to grow with the practice and take on increased responsibility as the office continues to expand.
Key Responsibilities
- Greet patients warmly and manage patient intake, ensuring accurate collection of personal and insurance information
- Verify insurance coverage (including Medicare and Medicaid), obtain authorizations, and assist with claims processing
- Conduct insurance verification, billing support, and documentation review while ensuring compliance with HIPAA regulations
- Assist with medical billing processes, including coding for procedures and services using ICD-10 and CPT codes
- Schedule appointments efficiently using EHR/EMR systems while maintaining a high level of professionalism on multi-line phone systems
- Maintain and update accurate patient records within electronic health record systems (e.g., ChiroTouch, Availity, or similar platforms)
- Manage front desk operations including filing, faxing, data entry, and handling patient inquiries with excellent phone etiquette
- Support clinic operations by coordinating care plans, managing medical records, and ensuring smooth office workflows
- Demonstrate strong computer proficiency, including Microsoft Office, to support administrative and operational tasks
- Identify, coordinate, and assist with scheduling marketing events to support practice growth
- Schedule and coordinate meetings with case managers regarding services rendered for personal injury clients
Skills & Qualifications
Required
- Excellent customer service skills with a professional and personable demeanor, both in person and over the phone
- Strong communication skills and ability to interact confidently with patients
- Ability to manage multiple tasks efficiently in a structured, organized manner
- Proficiency in handling multi-line phone systems while maintaining a positive patient experience
- Basic to intermediate computer skills, including Microsoft Office applications
- Ability to accurately collect patient information and support front office administrative tasks
- Strong attention to detail and commitment to maintaining accurate records
- Willingness to learn, grow, and adapt within a developing practice environment
Preferred
- Experience in a medical or chiropractic office setting, including patient intake and front office workflows
- Familiarity with electronic medical record (EMR/EHR) systems (e.g., ChiroTouch, Availity, Epic, Meditech, eClinicalWorks, or similar platforms)
- Knowledge of medical terminology, ICD-10 and CPT coding, and medical billing procedures
- Experience verifying insurance benefits, including Medicare, Medicaid, and private insurers
- Understanding of health information management practices and HIPAA compliance
- Competence in managing medical records, electronic documentation, and administrative workflows
- Bilingual abilities are a plus and valued in serving a diverse patient population
