We are seeking an experienced Senior Accounting Specialist to join our Orlando team on a full-time, on-site basis. This role is central to our day-to-day financial operations and client deliverables. The ideal candidate brings deep hands-on accounting expertise, a command of QuickBooks, strong technology and AI literacy, and the leadership presence to mentor and develop junior team members.

Role Summary

The Senior Accounting Specialist will own core accounting functions including month-end close, financial reporting, accounts payable/receivable oversight, reconciliations, and audit support. Beyond technical accounting, this role requires a forward-thinking professional who actively leverages AI tools, automation platforms, and modern workflows to drive efficiency across the team. This individual will also serve as a people leader — supervising junior accounting staff, providing coaching and feedback, and fostering a culture of continuous improvement. This is a high-responsibility, client-facing role requiring someone who can operate independently, meet strict deadlines, and uphold the firm's standards for accuracy and compliance.

Key Responsibilities

Financial Reporting & Month-End Close

  • Lead the full month-end, quarter-end, and year-end close processes with precision and on-time delivery
  • Prepare accurate financial statements including income statements, balance sheets, and cash flow statements
  • Develop and maintain financial reports and executive summaries for client and internal leadership review
  • Analyze financial data for trends, variances, and anomalies; escalate and resolve discrepancies proactively

Reconciliations & General Ledger Management

  • Perform thorough bank, credit card, and intercompany account reconciliations on a monthly basis
  • Maintain and manage the general ledger including journal entries, accruals, and adjusting entries
  • Ensure integrity and accuracy of all ledger accounts in QuickBooks and associated systems

Accounts Payable & Accounts Receivable

  • Oversee the full AP cycle: invoice processing, vendor management, payment runs, and aging review
  • Manage the AR cycle: invoicing, collections follow-up, cash application, and aging analysis
  • Identify and resolve billing discrepancies with vendors and clients in a timely manner

Compliance & Audit Support

  • Maintain compliance with GAAP standards, firm policies, and applicable regulatory requirements
  • Prepare and organize documentation in support of external audits, tax filings, and internal reviews
  • Assist with sales tax, payroll tax, and other compliance filings as needed
  • Develop and reinforce internal controls to safeguard financial data and ensure audit readiness

Client-Facing & Cross-Functional Collaboration

  • Serve as a primary accounting point of contact for assigned clients; communicate findings and status clearly
  • Collaborate with consultants, project managers, and senior leadership on client engagements
  • Participate in client calls and meetings, presenting financial information with professionalism and clarity
  • Support onboarding of new clients including chart of accounts setup and QuickBooks configuration

Technology, AI & Process Automation

  • Champion the adoption of AI tools and automation platforms to streamline accounting workflows and reduce manual effort
  • Identify opportunities to automate recurring tasks (reconciliations, reporting, data entry) using tools such as QuickBooks automation features, Zapier, Make, or similar platforms
  • Evaluate and implement AI-powered solutions for financial analysis, anomaly detection, and reporting efficiency
  • Stay current on emerging accounting technologies and recommend tools that improve team productivity and accuracy
  • Develop and document standardized, tech-enabled workflows for core accounting processes

Team Leadership & Staff Development

  • Supervise, guide, and develop junior accounting staff and interns on day-to-day tasks and professional growth
  • Review and provide quality-control feedback on work product prepared by junior team members
  • Delegate tasks effectively, set clear expectations, and hold team members accountable to deadlines and standards
  • Conduct regular one-on-ones and performance check-ins to support development and address gaps proactively
  • Train junior staff on accounting systems, firm procedures, and best practices, including technology tools
  • Foster a collaborative, high-performance team culture grounded in accuracy, integrity, and continuous learning

Qualifications

Required

  • 2–5 years of hands-on accounting experience in a professional services, consulting, or client-facing environment
  • Mandatory proficiency in QuickBooks (Desktop and/or Online); must be able to demonstrate experience
  • Demonstrated experience supervising or mentoring junior accounting staff or interns
  • Strong technology literacy with hands-on experience using AI tools, automation platforms, or workflow software in an accounting context
  • Solid working knowledge of GAAP and standard accounting principles
  • Proven experience with month-end close, reconciliations, financial reporting, AP/AR, and audit support
  • High proficiency in Microsoft Excel (pivot tables, VLOOKUPs, financial modeling)
  • Comfort with productivity and collaboration tools such as Slack, Microsoft Teams, Notion, or similar platforms
  • Strong written and verbal communication skills with the ability to present to non-financial stakeholders
  • Exceptional attention to detail and organizational discipline; ability to manage multiple priorities
  • Ability to work independently on-site in Orlando, FL, with minimal supervision
  • Professional demeanor appropriate for direct client interactions

Preferred

  • Bachelor's degree in Accounting, Finance, or related field (CPA or CPA-track a plus)
  • Experience with AI-powered tools
  • Familiarity with workflow automation tools 
  • Experience in a public accounting or multi-client consulting environment
  • Familiarity with payroll processing and payroll compliance requirements
  • Bilingual proficiency in English and Spanish

Position Details

Location: On-Site — Orlando, FL 

Schedule: Full-time hours; Monday–Friday during core business hours

Compensation: $25-40/hour depending on experience and qualifications

Duration: Initial engagement with potential for extension based on performance and business need
