Medical Office Manager
We are seeking an experienced, proactive, and highly accountable Office Manager to take ownership of front office operations within our growing Allergy & Immunology practice. This is not an entry-level or training role; we are looking for someone who is comfortable leading, making decisions, and managing both staff and patient-facing challenges independently.
The right candidate will act as the operational leader of the front office, setting the standard for professionalism, compliance, and patient communication, while also serving as a key partner to the physician in implementing and refining office workflows.
-Experience in Medical Offices and Management is Required-
Responsibilities include:
- Lead and manage front office staff (3+), including training, performance oversight, and accountability
- Handle patient concerns and escalations with professionalism and sound judgment
- Ensure consistent, accurate, and compliant patient communication
- Oversee daily operations to maintain efficiency and organization
- Verify insurance eligibility and interpret benefits (copays, coinsurance, deductibles, frequency limits)
- Provide accurate patient cost estimates
- Manage insurance-related processes, including prior authorizations and payer communication
- Maintain working knowledge of insurance workflows and standard billing rules (e.g., timely filing)
- Ensure HIPAA compliance and adherence to office protocols
- Identify gaps and implement workflow improvements independently
- Support administrative operations, including:
- Insurance contracts and updates
- Fee schedule requests
- Directory maintenance and reporting
- Partner with the physician to implement new processes and appropriately evaluate and refine initiatives before execution
