Medical Office Manager

We are seeking an experienced, proactive, and highly accountable Office Manager to take ownership of front office operations within our growing Allergy & Immunology practice. This is not an entry-level or training role; we are looking for someone who is comfortable leading, making decisions, and managing both staff and patient-facing challenges independently.

The right candidate will act as the operational leader of the front office, setting the standard for professionalism, compliance, and patient communication, while also serving as a key partner to the physician in implementing and refining office workflows.

-Experience in Medical Offices and Management is Required-

Responsibilities include: 

  • Lead and manage front office staff (3+), including training, performance oversight, and accountability
  • Handle patient concerns and escalations with professionalism and sound judgment
  • Ensure consistent, accurate, and compliant patient communication
  • Oversee daily operations to maintain efficiency and organization
  • Verify insurance eligibility and interpret benefits (copays, coinsurance, deductibles, frequency limits)
  • Provide accurate patient cost estimates
  • Manage insurance-related processes, including prior authorizations and payer communication
  • Maintain working knowledge of insurance workflows and standard billing rules (e.g., timely filing)
  • Ensure HIPAA compliance and adherence to office protocols
  • Identify gaps and implement workflow improvements independently
  • Support administrative operations, including:
    • Insurance contracts and updates
    • Fee schedule requests
    • Directory maintenance and reporting
  • Partner with the physician to implement new processes and appropriately evaluate and refine initiatives before execution
