This position plays a vital role in supporting physicians, coordinating patient care, and assisting with clinical and administrative operations. The Clinical Care Coordinator I will serve as the physicianβs βright-handβ person and will provide Medical Assistant backup support when needed.
Position Overview
The Clinical Care Coordinator I acts as a liaison between patients, providers, pharmacies, hospitals, and staff to ensure seamless coordination of oncology and hematology care. This role requires strong communication skills, attention to detail, professionalism, and the ability to multitask.
Responsibilities
Clinical Coordination
β Assist in coordinating follow-up appointments, referrals, imaging, and labs
β Relay patient messages and requests to providers appropriately
β Assist physicians with daily clinic flow and patient requests
β Prepare and organize patient charts and documentation
β Process prior authorizations, referrals, and medication-related requests
β Coordinate with pharmacies, infusion centers, laboratories, imaging facilities, and hospitals
β Ensure timely completion of physician orders and patient requests
β Maintain accurate and thorough documentation in the EMR system
β Assist with disability forms, FMLA paperwork, and patient-related administrative requests
β Monitor provider schedules and assist in maintaining efficient clinic operations
β Project a professional and courteous demeanor
β Perform other duties as needed or assigned

Medical Assistant Backup Duties
β Room patients and obtain vital signs when needed
β Prepare exam rooms and maintain clinical supplies
β Assist providers during patient visits and procedures as needed
β Perform other MA-related support duties
Administrative & Team Support
β Serve as a primary point of contact for physician communication and coordination
β Maintain professionalism and compassion in all patient interactions
β Support office workflows and collaborate with front and back office teams
β Assist with special projects, workflow improvements, and operational tasks
β Help maintain compliance with clinic policies and procedures
β Perform other duties as needed or assigned

Required Qualifications:
β High School graduate or equivalent with related experience
β Experience with in-person client services
β Strong computer skills, including basic keyboarding skills, and experience with at least two Office-type software programs (i.e., Outlook, Word and Excel).
β Able to sit at a computer terminal with telephone headphones for extended period of time.
β Ability to access situations, prioritizes workload, develop solutions and make recommendations.
β Excellent customer service and communication/interpersonal skills, both over the telephone and directly.
β Proven ability to deal with a wide variety of individuals
β Ability to deal sensitively and effectively with patients.
β Excellent organizational and problem-solving skills.
β Strong writing skills including the ability to compose, edit, and proof a wide variety of documents.
β Demonstrated administrative/office coordination skills.
β Professional, dependable, and patient-centered attitude
β Ability to adapt in a fast-paced healthcare environment

Preferred Qualifications:
β College Degree
β Experience in a medical office or specialty clinic
β Oncology or hematology experience
β Medical Assistant certification
β Experience with EMR systems and medical terminology
β Bilingual or multilingual capability (Spanish)
