Program, Event & Administrative Coordinator
Location: Enola, PA (Part-Time, Hybrid)
Position Summary
The Partnership for Career Development (PCD) is seeking a highly organized and detail-oriented Program, Event & Administrative Coordinator to support the planning, coordination, and execution of Career Awareness & Preparation (CAP) programs and events throughout South Central Pennsylvania.
This position is ideal for someone who thrives in a fast-paced environment, enjoys coordinating multiple moving pieces, and takes pride in creating well-organized, welcoming, and professional events and experiences. Experience in event coordination, program planning, hospitality, school/community programming, or similar roles is strongly preferred.
The Coordinator will manage program logistics, registration systems, partner communication, outreach support, event preparation, and general administrative tasks while working closely with PCD staff, schools, businesses, and community partners.
Attendance at PCD programs and events is expected unless otherwise noted.
Key Responsibilities
Program & Event Coordination
· Coordinate, and logistically manage PCD student and educator Career Awareness & Preparation (CAP) programs and events.
· Manage event logistics including scheduling, registrations, room reservations, food coordination, audio/visual needs, signage, and program materials.
· Prepare resources for events including nametags, activity materials, facilitator packets, and displays.
· Provide in person, on-site support and logistics management before, during, and after events.
· Assist with setup, breakdown, transportation of supplies, and general event preparation tasks.
· Monitor and maintain PCD’s student registration systems and event tracking processes.
· Help coordinate and track sponsor information and related materials.
· Communicate regularly with schools, facilitators, business partners, and participants regarding program details and schedules.
· Assist with outreach to prospective program facilitators and partners using established materials and systems.
· Anticipate scheduling or logistical issues and help implement solutions quickly and professionally.
Administrative Support
· Provide administrative support to leadership and program staff.
· Prepare agendas, meeting materials, notes, and related documents.
· Draft and distribute weekly and monthly newsletters using established templates.
· Support communication through email, phone, social media, and other organizational platforms.
· Maintain databases, digital records, and program documentation.
· Assist with basic budgeting, purchasing, data collection, and reporting tasks.
· Respond to general inquiries from schools, partners, and community members.

· Must possess a driver’s license and reliable transportation.
Experience
· Minimum of 2–5 years of experience in event coordination, program coordination, administrative support, hospitality, school/community engagement, or related fields preferred.
· Experience managing events, schedules, or multiple detailed projects strongly preferred.
Physical Requirements
· Ability to lift and transport program materials and supplies up to 25 pounds.
· Ability to assist with event setup and breakdown activities.
· Prolonged periods of standing, sitting, computer use, and occasional travel throughout South Central Pennsylvania.
Clearances
· Must possess or be eligible to obtain current Pennsylvania Act 34 and Act 151 clearances.
Compensation & Schedule
· $18.00–$22.00 hourly, based on experience
· Part-time: Approximately 15–20 hours per week
· Hybrid flexibility available based on organizational needs and event schedules
