Wildstar Program Coordinator

Position Summary

The Program Coordinator serves as the operational backbone of Wildstar programming, coordinating youth events, staffing schedules, vendor relationships, activity reservations, and seasonal programming logistics. This position plays a critical role in delivering safe, engaging, and memorable experiences for children and families while ensuring programs are staffed appropriately and executed efficiently.

The ideal candidate is highly organized, energetic, excellent with children, and capable of balancing event planning with day-to-day operational responsibilities.

Reports To

Wildstar Manager

Schedule

  • Full-Time Seasonal or Year-Round
  • Includes evenings, weekends, holidays, and school breaks
  • Flexibility required during peak programming seasons

Essential Responsibilities

Program Planning & Coordination

  • Coordinate Wildstar, Peaks, Makerspace, Adventures, and family programming.
  • Manage activity calendars and event logistics.
  • Coordinate transportation, reservations, check-in processes, and participant communications.
  • Track attendance and program participation metrics.
  • Assist with seasonal program development.

Vendor & Third-Party Coordination

  • Schedule and manage third-party activity providers.
  • Maintain vendor contracts, insurance documentation, and communication records.
  • Coordinate guest instructors, entertainers, guides, and activity partners.
  • Ensure vendors meet Talisker Club standards and youth safety requirements.

Staffing & Scheduling

  • Build staffing schedules for programs, camps, and events.
  • Monitor staffing levels and identify coverage gaps.
  • Coordinate shift changes and daily staffing adjustments.
  • Maintain staffing records and assist with payroll submission.

Youth Engagement

  • Build positive relationships with children and families.
  • Lead activities and support programs when operationally necessary.
  • Support behavior management and conflict resolution.
  • Maintain a fun, safe, and engaging atmosphere.

Qualifications

Required:

  • Experience working with children ages 5-15.
  • Strong organizational and event-planning skills.
  • Experience scheduling staff.
  • Strong written and verbal communication.
  • Ability to multitask in a fast-paced environment.
  • Valid Driver's License.

Preferred:

  • Hospitality, recreation, education, child development, camp, or youth programming experience.
  • CPR/First Aid Certification.
  • Experience with Jonas, Court Reserve, ADP, or similar platforms.
  • Minimum Intermediate-Advanced Skiing or snowboarding proficiency.

Success Metrics

  • Program staffing coverage maintained above 95%.
  • Vendor contracts and logistics completed on time.
  • Positive member satisfaction scores.
  • Safe and successful execution of all seasonal programming.
  • Increased participation and engagement in youth programs.
