Registrar Pk-8

POSITION: 

  • Registrar – Pk-8 Campus

MINIMUM QUALIFICATIONS:

  • Strong background in maintaining records or files
  • High school diploma or equivalent/college preferred
  • At least three years of experience working in data entry
  • Experience working in public schools preferred
  • Must possess strong communication and writing skills
  • Ability to operate computers, records management software, calculators, and general office equipment
  • Experience with SIS preferred

POSITION DESCRIPTION:

The Registrar will provide oversight of all student records and related campus administrative policies and procedures. The Registrar will maintain manual records of students and administer data processing registration and scheduling of students. The Registrar will collect, verify and input data for the Public Education Information Management System (PEIMS) to also include but not limited to insuring the propriety, timelines, accuracy, and compliance with District, State, and Federal policies, laws and regulations. The Registrar shall also:

  • Assist in establishing registration and related policies and procedures
  • Assembles, inputs, and updates all new and transfer student data into the computer
  • Enters demographic information on all new students into the computer and
  • updates withdrawals as required
  • Assists with daily attendance records
  • Researches and corrects all data error listings
  • Assists with answering all incoming front desk phone calls and signing in visitors
  • Balances six weeks principals report of attendance
  • Responsible for assisting PEIMS Director with PEIMS data submission four (4) times per year or as needed by administration or state requirements
  • Ensure that all PEIMS data is entered correctly, maintain PEIMS information and documentation per PEIMS Director instructions
  • Run various reports as needed by the state and/or district
  • Keep principals and/or administrators informed of any changes in PEIMS requirements.
  • Assist in creating and maintaining Master Schedule
  • Maintain Gradebook program as well as assisting teachers with Gradebook issues
  • Maintains & insures the integrity of student records in system & in files
  • Perform special projects as assigned by supervisor, including reporting, and development of other related policies and procedures
  • Provide information to staff and outside organizations and agencies as directed by the supervisor
  • Receive, address, and respond to correspondence and phone calls relating to such matters from teachers and other administrators, outside agencies and organizations
  • Other related duties as assigned by supervisor

WORKING CONDITIONS/PHYSICAL DEMANDS

  • May be required to work more than 40 hours during the work week
  • Maintain regular and routine attendance.
  • The usual and customary methods of performing the job's functions require the following physical demands:
  • May lift 5–10 pounds frequently, 10–50 pounds occasionally, and more than 50 pounds infrequently. Must maintain emotional control under stress. Frequent walking, standing, stooping, kneeling, bending, and twisting. May move small stacks of textbooks, media equipment, desks and other classroom or adaptive equipment. May work indoors and outdoors in varying climate conditions. Subject to visual acuity, speech/hearing, hand/eye coordination and manual dexterity.
  • This is a non-exempt full-time position.
