Client Engagement Associate

Our family-owned company was established in 1987 where we began designing and building new homes and major additions for homes in Northern Virginia. Our company also designs and builds structures for clients in the commercial and public sectors. Our team is hiring for an individual that has had experience engaging with clients and can manage their own diverse set of tasks. From client engagement to processing receipts to engaging with subcontractors, our new team member will be able to effectively communicate with energy and accurately record obtained information in our various systems for future reference
Our new team member must respect our company’s processes and ensure that they are further improved and followed effectively on an ongoing basis.

NOTE: This is a remote opportunity however, the company and the team are located in Northern Virginia. Therefore, this candidate must be able to have a reasonable commute to company functions and meetings.

Responsibilities
  • Provide administrative support to an individual and team
  • Collect, review, and analyze data and prepare reports, charts, budgets, and other presentation materials utilizing word processing, spreadsheet, or specialized software.
  • Maintain file, database, and archive of relevant records
  • Screen calls and respond to routine inquiries from external or internal sources with appropriate correspondence. Always confirm with more experienced team members when necessary prior to responding.
  • Schedule and coordinate meetings, travel, and other group activities. Ensure that stakeholders are reminded of upcoming appointments.
  • Manage invoicing, receipt processing, inventory management and other routine processes
  • Track materials ordered and follow up with vendors on estimated delivery date
  • Manage lead pipeline and followup and schedule for initial site visit
  • Ensure on a quarterly basis that subcontractor certificates of insurance are up to date
  • Ensure that all loose ends are shared with the team so that others can address them prior to taking leave
  • Must have experience managing a proposal pipeline
  • Because of the dynamic nature of our team, there may be other duties as assigned

Requirements:
  • Demonstrated experience
  • Must provide three references
  • Must be proficient with MS Office applications (e.g., create formulas in excel, develop presentations in PowerPoint, create documents in MS Word)
  • Drug test and background check required
  • Must be able to work remotely in a dedicated home office free of distractions and background noise
  • Must be reachable via messaging systems or cell and respond immediately during working hours
  • Occasionally, must be available during off-hours for addressing questions
  • May be required to visit project sites and/or accompany team lead to vendor sites
  • Must have reliable Wi-Fi and cell reception
