Recruitment Coordinator

Position Summary:
The Recruitment Coordinator position is responsible for assisting with the administration and coordination of the recruitment function. This includes administrative support for HR tasks related to full life cycle recruitment, diversity equity and inclusion, and the internship program. This position reports to the Senior Recruiter.
Responsibilities:
Recruitment Administration
  • Ensure a seamless and positive candidate experience through out the whole recruitment life cycle.
  • Post job advertisements and ensure compliance and consistency on all external posting sites.
  • Works with and researches external job boards, internal partners and external sources for position posting.
  • Assists with the outreach and connection to diverse groups for the purpose of fostering a diverse workforce.
  • Conduct and lead intern candidate phone screen.
  • Owning interview scheduling. Organize, prioritizes and engages with internal panel on calendar flexibility matching to the candidates schedule.
  • Updating the Applicant Tracking System, Taleo, and ensuring requisition are closed out in a timely manner.
  • Manage recruitment files and candidate records in both our Applicant Tracking System, Taleo and in electronic files.
  • Partner with HR team on ensuring compliant record keeping.
  • Completes any recruitment related invoicing for marketing events, external postings, and other costs associated with the recruitment process.
  • Attends recruitment and recruitment marketing events with the Senior Recruiter to represent MSI and Tetra Tech and supports generating awareness of new employment opportunities.
Intern Program Management Support
  • Support Senior Recruiter on designing, planning and coordinating, intern events and activities.
  • Partner with the Senior Recruiter on designing and implementing training calendar for interns.
  • Assist in organizing educational efforts for the intern program through partnering with other TetraTech operating units to have detailed and engaging trainings.
  • Coordinate with the HR team on intern onboarding, intern extensions, and intern exits.
  • Support implementation of program evaluation efforts, including post-internship follow up with exit interviews, collecting and analyze quantitative and qualitative data.
Qualifications:
  • Associate degree required; bachelor’s degree preferred.
  • Minimum of 1 years of experience in an office environment, preferably in a support role in administration, human resources or directly with recruitment, 2 years of experience preferred.
  • Strong administrative and organizational skills and an ability to multitask and prioritize to meet deadlines.
  • Strong work ethic and “customer service” focus.
  • Previous experience working with Microsoft Office Applications, an HRIS system, an applicant tracking system, and/or a learning management system preferred.
  • Demonstrated ability to follow prescribed and standard routines, practices, and procedures as well as receive general instruction and supervision on work progress.
  • Demonstrated ability to communicate clearly and concisely orally and in writing with all levels of staff.
  • Demonstrated resourcefulness in solving problems and the initiative and interest to learn new skills and tackle new projects.
  • Knowledge of human resources processes and best practices is preferred. 
  • Ability to protect and maintain confidentiality of information and materials.
  • Ability to work independently and as part of a team.
  • Fluency in English required, proficiency in a second language preferred.
