Operations and Administration Manager

We create a place for every kid on the playground to feel included, be active, and build valuable social and emotional skills by partnering with schools, districts, and after-school programs through services including digital engagement, on-site coaches, professional training for school staff who support play, and consultative partnerships.

ABOUT THE POSITION, in the role of Administration & Operations Manager, you will assist with the oversight and coordination of Playworks’ Regional Office administrative and capacity building projects, events and functions. This position is a key resource in advancing Playworks’ goals and will work with Playworks staff and AmeriCorps Members as well as with external partners, donors, and volunteers to create and grow a sustainable and well-organized community-based organization. This is currently an Arizona-based remote role with occasional travel required as needed, with the possibility of in-person office work in the future. 

Specifically you will manage the regional office in the following ways-
Regional Office Operations and Administration:
  • Drive recruitment strategies for regional staff, volunteer, and intern openings
  • Operate as Salesforce database manager and other systems such as videoconferencing, software, etc. expert. Provide or arrange instruction and support to regional office staff, etc.  
  • Assist regional office directors in development, creation and maintenance of office systems, processes and procedures. Manage the acquisition, update and support of office systems, equipment, procedures and processes in collaboration with national office teams.
  • Responsible for locating and securing new office space and/or storage facility, up to and including lease negotiations and signing, organizing office relocations, assigning and setting up workspaces for staff.
  • Responsible for record keeping including but not limited to Salesforce, financial records, contracts, grant submissions, etc.
Capacity Building/Development
  • Participate in fundraising efforts including event planning, collateral creation, vendor coordination, seeking out funding, processing donations, etc. to help support events
  • Support regional leader with board meeting coordination, materials, communication and monitoring all gifts and meeting follow up
  • Plan, organize and coordinate staff meetings, fundraising activities and community events including logistical support and follow-up activities such as minutes, Salesforce entries, emails and calls
  • Grant management, including research, writing, reporting and funds oversight
  • Manage cross region fundraising efforts
Marketing/Communications
  • Manage all external communications and marketing efforts including creating content and maintaining regional website, oversight of marketing materials, internal Google site, newsletters, social media sites, quarterly executive director school principal emails, etc.
  • Partner with National Office HR, Finance, Solutions and Operations departments and manage local rollout for projects and initiatives as needed
  • Development and oversight of regional procedural handbook and protocols for operating
School Programs and Partnership Engagement:
  • Monitor annual survey results, keep the team updated on participation numbers, manage participation incentive programs when needed.
  • Identify additional data points needed and develop a plan to collect and analyze each.
  • Serve as contact for external partners. May attend, assist and represent Playworks at external partner events/functions, speaking engagements, tours, and other programs
  • Coordinate all school/site visits, play days, beautifications and manage guest attendance, school communication and all materials provided to attendees before and after the activity

Required Skills & Experience
  • At least 3 years of relevant work experience, preferably with nonprofits, fundraising and/or education/school/youth development services.
  • College degree or similar combination of experience and education preferred.
  • Solid supervisory, project management and external partner/client management experience.
  • Grant management and compliance experience is highly desired.
  • Strong presentation and communication skills both verbally and in writing with experience communicating effectively with a broad and diverse audience.
  • Ability to communicate/interact professionally and effectively with a broad and diverse range of individuals (includes executives, business leaders, coworkers, students and teachers, variety of cultures and backgrounds).
  • Demonstrated database management skills.
  • Advanced computer skills, especially MS Word and Excel with ability to learn new technology quickly. Knowledge of Salesforce is a plus.
  • Ability to problem solve, set priorities and juggle competing demands effectively.
  • Comfort with a playfully professional workplace culture. Interest in and commitment to the tenets of AmeriCorps, volunteerism and national service programs. Experience working with an AmeriCorps program is a plus!
  • Passionate commitment to Playworks’ mission and vision to improve outcomes for children and schools.
  • This position requires travel to various regional locations.

Typical Physical & Mental Demands: Requires prolonged sitting with some bending, stooping and stretching, and eye-hand coordination and manual dexterity sufficient to operate a keyboard, telephone, photocopier, calculator and other office equipment. Also requires flexibility to readily adapt to a changing environment.
