Base Shop Coordinator (BSC)

• Assistant to Broker –Assisting Broker with daily task that include: • Organizing Big Event Agendas • Work with Broker to establish more efficient ways to run office • Partner with Corporate for miscellaneous needs • Enroll Agents into the PMF School
BSC Roles(Carriers) • Client/Carrier/Agent Administrator –

– Working with all agents within PMF to ensure requirements are met – Training agents when opportunities are identified with
field underwriting process to ensure minimal mistakes are made in the field – Ordering all carrier applications and ensuring most updated forms and brochures are readily available for all PMF in the Boston Office – Work simultaneously with PMF Carrier Home Office to ensure timely placement of policies

– Ensure that all Medical Exams are schedule prior to submitting all new business
BSC Roles(Clients) • Client/Carrier/Agent Administrator –
During underwriting process call every client once a week to update them on application status. – When possible update clients on projected draft date – Verify client availability for agents to come out and have requirements signed.

– Invite all Clients to come to office overview to meet all of our brokers for a Client Appreciation overview (POM) – Update Brokers DARs+ with all clients at time of transmittal submission • Birthday, Children Birthday, Policy Anniversary Date

BSC Roles (Agents) - Client/Carrier/Agent Administrator – Track all new agent speed filters and follow up to receive missing requirements. Requirement for Fast Start School – File and store all DARS – Keep record of all new Fast Start top 25 list – Track all team promotions and have Broker/Agent sign new contract before sending to Home Office – Work with Agents to ensure Carrier requirements are met for their pending client applications – Support agents with all back office document needs – Call Captains List for all agent in email for Saturday & Tuesday POM’s
 underwriting requirements being met within 24 hours of notice
 follow up calls to all clients within 24-48 hours of Transmittal being submitted to home office
Licensing Coordinator(Pre-Test) - • Driving New Licensed Agent Count –
Responsible for all Carrier
 Send Thank You card/emails or
 Work with current
 agents to ensure that their new recruits have started their licensing hours and scheduled test.

 Work with Broker/Agents to schedule licensing training Boot Camps to help support new agents in getting licensed – Create a new agent licensing kit to ensure support with getting licensed quicker – Communicate with Max when new Agents have passed the test.
Licensing Coordinator(Post-Test) Driving New Appointed Agent Count – Work with agents to complete post test requirements with the State of Massachusetts & etc to ensure speedy arrival of license – Ensure that all post licensed state required CE credits are completed – Ensure that all Carrier Specific training is completed before submitting appointment paperwork – Ensure that E&O is purchased by agent – Work with agents to submit all appointment paperwork • AG, Forester, Nationwide, National Western, National Life and etc

Team Organizer Communications/Updates – Update all trackers in excel Monday morning after Full Timers. No later than Tuesday before POM. – Address team during meeting after the meeting with any team related updates for business – Organize all team events; Big Event, Super POM, Wine, Woman, and Wealth – Work with Broker to address any individual agent issues – File and organized all team applications digitally and forward to the Corporate team of PMF
Goals -

Daily Tasks - There are some standard, daily tasks among all base shops that should be handled daily by the BSC. These include: • Field and answer office phone messages in a timely manner with correct information. • Contact all field trainers (keep a roster of contact information readily available) to update their logs of appointments and results. • Check the company email system for current announcements, updates and other important information. • Call and confirm your SMP’s financial and one-on-one recruiting appointments for the following day. • Schedule items in your SMP’s calendar, if permitted. The BSC must be able to effectively use the SMP’s calendar system of choice — whether it be MyPMF, Outlook, another computer program, a paper calendar, or something else. Make sure that you are both clear on what and when you can schedule. • Handle any necessary tasks for the SMP
