Volunteer Coordinator

JOB SUMMARY:The Volunteer Coordinator is responsible for curating a talent pipeline of Volunteers who are highly committed, driven, and fit the Emerald culture. The Volunteer Coordinator manages and executes EY’s volunteer management system (VMS) which includes but is not limited to finding and feeding EY’s pipeline with committed volunteer talent, mitigating risk by screening volunteers, and engaging with volunteers and staff throughout volunteer life cycles to retain talent. All responsibilities lead toward engaging adults who relationally and *comprehensively engage neighborhood youth in faith, learning, and health activities.
 
ESSENTIAL JOB DUTIES:
  • In collaboration with the HR team, identifies and develops best recruitment strategies and practices for various volunteer positions through proactive research and knowledge of best recruitment trends.
  • Continuously seeks volunteer talent within the network of EY entities; and cultivates partnerships within Knoxville, the greater Knoxville area, east TN, and southeastern region resulting in an established recruitment pipeline for EY.
  • Serves as an ambassador and advocate for EY. Secures attendance and/or presentations at identified engagements, community clubs, partnering organizations/agencies, and career fairs as part of all recruitment efforts. 
  • Frequently meets with the HR and Advancement teams to understand specific volunteer needs and messaging.
  • In partnership with the Advancement team, provides volunteer recruitment materials internally, attends volunteer recruitment events, and posts volunteer positions online.
  • Upholds and carries out all aspects of EY’s Volunteer Management System, including maintaining EY’s Volunteer HR maps.
  • Regularly engages with EY’s HR team, COO, and program staff to determine volunteer needs.
  • Utilizes EY’s volunteer database and volunteer HR maps as the primary sources for volunteer tracking and reporting. Creates and provides other volunteer reports as needed.
  • Spearheads engagement with potential volunteers and conducting initial phone screens.
  • Approaches applicable internal staff about volunteer placement and next steps with candidates.
  • Administers all volunteer background checks and references; includes submitting applicable driver information to insurance for coverage. Shares flagged results with direct supervisor for counsel on next steps. Handles all sensitive information confidentially.
  • Follows up with selected volunteers and staff to ensure an efficient onboarding process and positive volunteer experience. Works with EY’s HR team, Program Development department, and relevant staff to ensure necessary new volunteer training is conducted.
  • Creates and compiles new volunteer welcome gifts, including but not limited to ordering appropriate volunteer gear.
  • Supports staff with any on-site volunteer needs, e.g., materials for volunteer bulletin boards, volunteer stations, etc.
  • Initiates follow up with newly placed volunteers and applicable staff about their experience. Visits programs frequently to observe and engage with volunteers and AmeriCorps members.
  • In collaboration with the HR team, provides support to staff as volunteer discipline and/or performance issues arise.
  • Coordinates EY’s standard annual volunteer recognition efforts (i.e., Thanksgiving and National Volunteer Week); and assists with staff events as requested. Encourages and supports staff in celebrating their volunteers year-round. 
  • Organizes volunteer group efforts in collaboration with EY’s Facilities, Advancement, and other applicable departments; performs follow-up with volunteer groups and staff as necessary. Ensures information on EY and staffing needs are presented to volunteer groups (sees these projects as opportunities for recruitment). Guarantees volunteer group hours are captured via EY’s volunteer database.
  • Manages and assists with additional HR-related projects and tasks as assigned, contributes to any assigned groups or committees, and participates in area ministry network and organization events, including working outside normal schedule as needed and attending and supporting all aspects of EY’s monthly all staff meetings.

MINIMUM QUALIFICATIONS:
  • Dedicated Christian with clear knowledge of the Gospel and a passion for the mission of Emerald Youth Foundation; connected to a church community; possesses a strong reputation for honesty, integrity, and high moral standards. 
  • Bachelor’s degree in related field.
  • Minimum of 1-year relevant experience, i.e., volunteer management and/or recruitment.
  • Able to communicate via different modes of technology and accurately respond and capture information, specifically Microsoft Office and Zoom.
  • Demonstrated organizational and time management skills; ability to prioritize tasks. Excellent written and oral communication skills. Operates with a sense of urgency. Ability to achieve results under pressure and meet deadlines. Detail oriented. Ability to work efficiently in a collaborative setting. Willingness to work extended hours.
  • Physical Requirements sedentary position with ability to move about occasionally within office setting to access physical files and office-oriented tasks and walking to and from events. Occasionally lift objects up to 20lbs for set up of training, restocking supplies, or carrying materials to and from events.
