Stewards Individual Placements Program Coordinator

Title:  Program Coordinator
Starting Salary Range: $38,000-$39,141
Location: Beckley West Virginia-remote eligible within the Eastern Region
Status: Full-Time, Non-/Exempt

Reports to:  Program Manager

Conservation Legacy is a nationwide non-profit. The Corps programs within the organization engage participants in diverse conservation and community projects that serve public and private lands.  These projects provide opportunities for personal and professional development and strive toward a high priority of needs for public land managers and community partners. Program Summary:
Stewards Individual Placements (SIP), a program of Conservation Legacy, places individuals across the nation in projects that build capacity, improve access to natural resources, develop and support innovative solutions, develop opportunities for service and economic development, and empower leaders. SIP focuses on federal partners such as the National Park Service, US Forest Service, and Bureau of Indian Affairs along with multiple state and local governments and nonprofits. 
 
Position Summary: 
The Program Coordinator supports all aspects of member and project site support through AmeriCorps and non-AmeriCorps based initiatives within Stewards Individual Placements. This position does so by interacting with program partners, supervisors, and members. The Program Coordinator, in collaboration with other staff, ensures the aspects of Program coordination are executed including: recruitment, engagement, and reporting, for all assigned projects assigned within their portfolio. The Program Coordinator also ensures that all processes, procedures, and compliance measures are met throughout the entirety of each placement cycle. 
 
Outcomes & Functions of Position:
 
Program Coordination
  • Provide consistent high-quality customer service to potential applicants, candidates, current participants, alumni, partnering services, internal staff, and other internal and external stakeholders.
  • Verifies that all compliance policies and procedures are implemented and followed for all AmeriCorps, Conservation Legacy, and Steward’s programming. 
  • Working with Program Manager, ensuring proper routing and timely handling of worker’s compensation claims.
  • Conduct recordkeeping and maintain storage platforms for service members.
  • Work with member and supervisor to ensure timesheets are completed and participate in the review and approval of programmatic payrolls.
  • Responsible for ensuring program-specific funds are properly requested, reimbursed, and utilized within budgetary constraints of the position and in alignment of Conservation Legacy, AmeriCorps, and partner parameters. (professional development funds, travel funds etc.)
  • Assist with grant and partner required reporting.
  • Work with the Program Manager and other appropriate staff to collect, review, edit, and package reports; compile and send all quarterly reports to partners.
  • Support Development Coordinator in ensuring accuracy of quantitative data capture
  • Support partners with additional reporting requests as needed.
 
Recruitment
  • Under direction from Program Manager, ensure successful recruitment strategy to fill all initiatives’ positions.
  • Leads recruitment efforts for assigned projects, in collaboration with partner and site supervisor; utilizes all Conservation Legacy recruitment policy and procedure, including DEI hiring toolkit. 
 
Engagement
  • Manage the supervisor experience by conducting orientations, quarterly calls, and assistance with operational procedures (timekeeping, reporting, risk management, etc.)
  • In collaboration with Training and Logistics Coordinator, ensure all training and professional development opportunities for member meet funder and partnership expectations.
  • Perform periodic site visits (nationally) to necessary project site locations as assigned by Program Director; support others in site visit planning as it relates to the members and supervisors within this position’s purview
  • Manage the project site/site supervisor experience by providing support and resources as it applies to each situation.
  • Work with the Program Director to review and update program handbooks as necessary/assigned. 
  • Support the planning of and record member professional development fund usage.
  • Conduct dispute resolution/mediation between member and supervisor when need arises
  • Conduct partner identified cohort meetings as required

Qualifications: 
  • Ability to successfully work in a fluid, changing work environment.
  • Ability to operate Microsoft Office programs and applications, or similar platforms. 
  • Ability to keep others and oneself, in remote locations, accountable to expectations.
  • Valid Driver’s License and Insurable Driving Record per Personnel Policies.
  • Must be able to pass the organization’s criminal history check requirements.
  • Full vaccination against COVID-19 by the first day of employment and ability to provide proof of vaccination before starting.
  • Exhibits the ability to effectively collaborate with diverse teams or with a variety of populations, including those underrepresented at our organization and those of BIPOC communities.
  • Bachelor’s degree preferred; national service experience desired.
