Legal Assistant / IT Help
The Law Firm of Rudolph Friedmann LLP is looking for a Legal Assistant / IT Help to lead the Firm’s document and data management systems and processes as well as assist with day-to-day legal assistant help. This position serves as the lead to the analyzing, collection, storage, and creation of both digital and physical data at Rudolph Friedmann LLP. This position demands a well-organized, action-oriented team player with the ability to prioritize daily work and support on multiple projects and tasks simultaneously.
Responsibilities:
- Administer and monitor the Firm’s iManage cloud-based document management system (DMS).
- Write and edit standard operating procedures for various Firm processes including analyzing, collection, storage, and creation of both digital and physical data.
- Work closely with IT on various tasks and be able to fill in as IT Help on days when IT is not on premise.
- Work closely with all Firm employees from Managing Partner to Reception on day-to-day DMS activities and help as well as training of new hires in the Firm’s DMS and other IT related tasks.
- Assess risks in information processing, transmission, and storage and assess the efficiency of safeguards in place while recommending ways to improve.
- Assist Paralegals and Secretaries where needed on various legal tasks including document production, editing, and organizing.
Qualifications:
- BA/BS or pursuing a degree.
- 1-2 years’ experience in IT and data and document management and/or in the legal sector.
- Background with iManage and other DMS systems.
- Excellent O365 skills especially with Outlook, Word, Excel, and Teams.
- Ability to work both individually and also on various teams.
- Excellent organizational skills and ability to handle multiple tasks at once.
- Strong verbal and written communication skills.
- Project management skills.
Nice to Haves:
- Prior experience at a law firm or in the legal sector.
- Knowledge of Azure a plus.
- Understanding of security regulations and best practices especially those concerning to Massachusetts.
- Any relevant IT and/or paralegal certifications.
