Xplore Site Coordinator - Cuyahoga & Lorain Counties

POSITION DESCRIPTION
POSITION TITLE:           Site Coordinator, Out-of-School Time Full Time, 12 months
STATUS:                        Non-Exempt
STANDARD HOURS:      8 hours per day; hours vary depending on program and school schedules/needs
REPORTS TO:                Manager, Advising Services and Programs
ASSIGNED TO:               Out-of-School Time
 
Position Summary:

The Site Coordinator for OST will be responsible for providing advising services in a high school as well as the daily administration of Xplore, an afterschool program focused on intensive college & career exploration and research skills. The Site Coordinator will be responsible for helping students discover and research college and career options for post-secondary attainment. Based on specific school assignments, this is mainly accomplished via classroom workshops, group sessions, national/international trips, individual student meetings, and parent/family meetings.

The final week(s) of each Xplore session will be dedicated to week-long college and career exposure opportunities at the local, national, and international locations. Each session will focus on a unique meta major that drives student research and the corresponding exposure opportunities in industry-specific, high-demand careers. Meta Majors include Liberal Arts, Entrepreneurship & Business; Finance & Banking; Information Technologies; Media & Entertainment; and Healthcare.


Essential Functions:

  1. Maintain OST paper and electronic records, including attendance, food service, and equipment inventories.
  2. Help plan and execute family sessions, cultural activities, and college & career visits for OST students.
  3. Recruit students to the OST program through in-school and community-based meetings.
  4. Supervise student interns and volunteers at OST program.
  5. Work within each school, library, community center’s unique environment in order to best serve students while meeting College Now and OST expectations.
  6. Instruct students on how to brainstorm and create research questions. Site coordinator will provide lessons on college & career research and use evidence-based practices to lead discussions on daily career discoveries.
  7.  Attend OST meetings and trainings.

Provide group and individual services to students all assigned schools. These services may include:
  • Assisting students with discerning career and college goals by providing information regarding educational options beyond high school, including institutional choice, career options, admissions and financial aid, preferably through the use of Naviance Succeed
  • Advising students about college entrance exams (including ACT, SAT I, SAT subject tests) and test preparation resources; assisting students with test registration forms and providing fee waivers.
  • Supplying students with admission and financial aid applications; providing waivers, where appropriate, for application fees and tuition/housing deposits.
  • Guiding students through the financial aid process, including assistance with the FAFSA and CSS Profile, advocating for those with special circumstances, reviewing the SAR, interpreting college financial aid award letters, assisting with verification and helping students with any other necessary paperwork.
  • Promoting scholarship opportunities and encouraging students to research and apply for applicable scholarships and awards.
  •  Recommend qualified high school seniors for College Now scholarships and collect required documentation and enter appropriate information in CollegePATH.
  •  If applicable, serve as a mentor/team leader to AmeriCorps College Guide(s) assigned to the Advisor’s school(s) by facilitating integration into the school, assisting with delivery of classroom presentations, and working as a team to provide services to students and families.
  • Serve as a student advocate through: 1) communication with colleges and universities; 2) communication with parents; 3) collaboration with school; and 4) communication and cooperation with outside scholarship programs.
  • Refer students to other services, e.g. school counselors, staff, college departments and other agencies for assistance in areas outside of College Now’s responsibilities, if deemed necessary.
  • Track all services by accurately entering demographic information, contacts and notes in CollegePath student database. Adhere to strict confidentiality in student record keeping.
  • Become aware of and open to opportunities to promote College Now services through community outreach.
  • Attend all advisor trainings.
  • Help plan and chaperone national and international trips.
  •  Perform other duties as assigned.

Qualifications:
The Site Coordinator must have a bachelor’s degree, and a minimum of either one year of college access/ financial aid experience or one year of experience teaching adolescents. Teaching certificate preferred. Must be able to work autonomously and in a team environment with a collaborative focus. Must be comfortable using a laptop computer, able to conduct searches on the internet and Microsoft Office (Word, Excel, Outlook), and must be able to enter data in a student database. Must be willing to work evening and occasional weekend hours. Must be able to provide own transportation to multiple school locations throughout Greater Cleveland. Must be able to carry up to 10 pounds daily, consisting of a laptop computer, printer, and advising materials.
