Sr. Administrative Assistant to the COO (Mental Healthcare)

The Senior Administrative Assistant supports Seneca’s Chief Operating Officer (COO). This position includes managing logistics, scheduling, customer service, and special project assistance. This also provides an excellent leadership opportunity among Seneca’s administrative support team. By working alongside the executive team and Executive Assistant, the Senior Administrative Assistant is uniquely poised to receive mentorship and guidance from leaders in the nonprofit and mental health field, while also gaining insight into a macro-level view of agency programs, practices and initiatives.

Responsibilities

  • Process all mail and information to and from the Executive Office
  • Prepare correspondence and special project documents
  • Collaborate with Executive Assistant in maintaining the Executive Officers' schedules
  • Make necessary arrangements for meetings and events, including purchasing refreshments, scheduling rooms, sending notices, and contacting attendees
  • Assist Executive Assistant in maintaining all aspects of the Board Meetings, Administrative Meetings and Program Directors' Meetings
  • Maintain all of the Executive Officers' files; make supply purchases for Executive Office
  • Coordinate projects as directed by the Executive Officers or the Executive Assistant
  • Serve as liaison for staff communication with the Executive Officers
  • Distribute information and assignments, and develop and track reports as directed by the Executive Officers or the Executive Assistant
  • Manage telephones as needed

Qualifications

  • Bachelor's degree
  • Excellent organizational, analytical, writing, and communication skills
  • Proficiency with the Microsoft Office, Adobe suite products, and electronic databases
  • Ability to prioritize projects and multitask
  • Ability to work as a team member
  • Own vehicle, valid driver's license and clean driving record
  • Clearance of TB test, fingerprints, and any other mandatory State/Federal licensing or certification requirements
  • Proof of COVID-19 vaccination 

Schedule

  • Full-time
  • Monday - Friday, 9am - 5pm

Benefits

  • Starting at $ 25 per hour. Actual salary is dependent on creditable experience above the minimum qualifications
