SUMMARY
The Toledo Museum of Art seeks a self-driven Stewardship and Development Events Coordinator to join the Development team. This individual will work with TMA staff to help donors and members connect and engage with The Toledo Museum of Art, its mission, and its broader community. In addition, the coordinator will co-create, plan, and execute a comprehensive stewardship and events strategy to enhance donor engagement, strengthen involvement, and build and retain the donor community. The position will report to the Development Operations Manager and be an integral part of the team.
 
 
KEY ACCOUNTABILITIES

  • Leads, co-creates, implements, and evaluates a comprehensive plan and annual calendar for donor stewardship.
  • Works with frontline fundraisers to devise and support the implementation of a stewardship strategy for each donor segment, with a focus on donor engagement and retention.
  • Works with development staff to report to donors on the impact of their gifts and manages the creation and presentation of annual individualized endowment reports.
  • Designs strategic donor stewardship communications, including social media, arTMAtters magazine features, e-blasts, year-end reminders, birthdays, anniversaries, special events, annual report content, gift announcements, acknowledgments, invitations, and other fundraising and stewardship materials.
  • Supports gift processing and acknowledgments using The Raiser’s Edge. Performs other constituent and record management tasks as needed.
  • Oversees logistics, planning, and execution of in-person and virtual events. Coordination includes all aspects of event management involving scheduling, invitations, RSVPs, security requests, room design, decorating, menu selection, A/V and technology work orders, pre-event walk-throughs, budget and expense tracking, and volunteer and staff management.
  • Acts as an internal liaison between the Development department and the Special Events department.
  • Assists the Development team in serving as a liaison for and executing the work of the TMA Ambassadors.
  • Responsible for managing the department calendar, overseeing the scheduling of all Development-related events, and coordinating calendars.
  • Develops and designs event and stewardship performance reporting, evaluating data needed and key ROI metrics for stewardship and events.
  • Assures the safety of visitors, staff, works of art, and facilities by following and enforcing all related policies and procedures in the planning and execution of events.
  • Performs other duties as assigned or required.
 
RELATIONSHIPS
Reports directly to the Development Operations Manager while working closely with the Manager of Special Events and Food Services and Director of Development. In addition, this position works with members of all other Museum departments along with donors, vendors, partners, and supporters.        
 
 
EDUCATION AND EXPERIENCE

  • Bachelor’s degree or equivalent combination of education and 4+ years of professional experience required.
  • 2 years of experience with successful event planning, coordination, and execution required.
  • 2 years of administrative support experience required.
  • Experience working with volunteers and interacting with donors is strongly preferred.
  • Experience creating donor communications is strongly preferred.
  • Experience with donor databases, such as The Raiser’s Edge or similar software is strongly preferred.
 
SPECIALIZED KNOWLEDGE, COMPETENCIES, AND ABILITIES

  • Technical – Intermediate Word and Excel skills. Accurate recordkeeping and report generation employing a database. Ability to learn and use software such as The Raisers Edge. Experience organizing and hosting large-scale Zoom meetings.
  • Communication – Excellent interpersonal and communication skills, with the ability to work in a team-oriented environment. Ability to write compelling stewardship communications and event collateral. Builds relationships and fosters engagement using effective and consistent communication touchpoints. 
  • Customer Focus – Actively pursues information to understand donors’ and members’ circumstances, challenges, expectations, and needs. Considers how actions or plans will affect donors and members. Responds quickly to meet donor and member needs and resolve conflicts.
  • Project Management – Ability to prioritize and handle multiple projects simultaneously and to work calmly under the pressure of deadlines. Prioritizes tasks by seeking information to understand circumstances, concerns, expectations, and needs. Schedules tasks by allocating appropriate amounts of time to complete work while avoiding scheduling conflicts and developing timelines and milestones. Able to manage complex projects accurately while analyzing current processes and identifying opportunities for improvement.
  • Work Management – Must be resourceful and a self-starter while possessing excellent organizational skills and attention to detail. Understands the urgency of deadlines, effectively completes time-sensitive tasks, and adjusts priorities when appropriate. Sets ambitious goals that are achievable, then focuses on exceeding them.
  • Adaptability – Maintains effectiveness when experiencing changes in work tasks or work environment. Able to adjust effectively to work within new work structures, processes, requirements, or cultures. Comfortable navigating ambiguity and quickly working through competing priorities. 
  • Relationships - Excited to strategically build better donor experiences and improve engagement to grow awareness for TMA's mission and to build community. Understands that the best way to meet and exceed goals is through building alignment and outstanding teamwork.
  • Availability - Ability and willingness to work some evening, weekend, and holiday hours.
 
WORK ENVIRONMENT
Standard open office work environment shared with co-workers, with related phone, computer and printer noise. Position requires ability to operate a computer and other office productivity machinery, such as a calculator, copy machine, printer and phone system; ability to lift 35 pounds and to remain standing or walking for extended periods; hours may include some evenings and weekends as necessary.
