Job Summary:

The Department of Molecular Metabolism (MET) at the Harvard T.H. Chan School of Public Health works to discover the root causes of major non-communicable diseases that adversely affect public health, including neurodegenerative disorders, cancer, and chronic diseases of metabolism.

The Faculty Assistant will work with several MET faculty members and will provide day-to-day administrative support, including executing a broad range of administrative responsibilities and working in a variety of technical systems to support faculty teaching and research efforts. The Faculty Assistant will also assist with some general departmental support, prioritizes multiple tasks in a competing environment, and will take on special projects as needed. The position reports to the Assistant Director of Administration

Job-specific Responsibilities:

Additional duties and responsibilities include, but are not limited to, the following:

  • Provides a wide range of clerical support including: keyboarding, composing and editing letters, memoranda, reports, lecture/course materials, presentations, cases. Prepares copy for publication or submission of grant proposals and/or reports
  • Assists with department administration including but not limited to scheduling common rooms, sorting mail, organizing department supply inventory, ordering catering, coordinating departmental meetings, and ordering office supplies
  • Drafts, edits, and prepares correspondence, reports and other materials using word processing, spreadsheets and/or databases; also uses the Internet, which may include web maintenance and design
  • Serves as principal contact and source of information for students, staff, faculty, and external customers related to faculty business
  • Manages complex calendars, arranges for meetings, appointments and travel arrangements
  • Coordinates events including conferences, seminars, and colloquia on behalf faculty and the department
  • Prepares and produces financial reports using on-line financial systems, such as reimbursement for travel, corporate cards, HU Purchasing card, etc.
  • Purchases and maintains inventory of supplies for faculty and departmental needs
  • Performs library/research work and summarizes findings
  • Creates and maintains filing system(s), both electronic and paper
  • Answers and routes phone calls, emails, and mail, and may handle wide-range information dissemination
  • May assist in training, scheduling, and distributing work of students, casuals, or temporary staff
  • Works with other administrative staff in the department and School to provide support
  • Other duties and special projects as assigned

PLEASE NOTE: This position has a term appointment of 2 years from date of hire with the possibility of extension. The primary work location for this position is Boston, MA and in order to be on Harvard payroll, you must reside in one of the following states – MA, NH, RI, ME, CT, VT, NY, or MD. Until our return to campus and full operational status, which is still to-be-determined, this interview process and position will take place in a slightly modified manner – including virtual interviews and a combination of remote and on-site onboarding and work. On-campus/in-person work is expected, though, upon start date – in accordance with approved COVID-related guidelines and protocols.

Basic Qualifications:

  • 3+ years of relevant experience is required; a combination of education and experience may be considered

Additional Qualifications:

The following job-specific skills and competencies are preferred:

  • Business training or college degree preferred, or an equivalent of education plus experience in an office and customer service-oriented environment
  • Experience working with faculty in academic setting
  • Experience providing administrative support to one or more people simultaneously
  • Strong attention to detail, organizational, and written and verbal communication skills
  • Solid working knowledge of office processes and systems, and of related computer software (such as Microsoft Office & Word) and electronic communications tools
  • Knowledge of Endnote a plus
  • Experience working across teams and with a variety of projects and constituencies
