Operations Director

Gallery 263 is seeking an organized and energetic operations director to oversee the day-to-day operations of the gallery and spearhead events while working with the board of directors to plan for the gallery’s future. 

The operations director will work an average of 15 hours/week and collaborate with the exhibitions director, the communications director, and the board of directors to continue the success of Gallery 263. The ideal candidate will have experience in administration, volunteer management, and event coordination. She/He/They will be an excellent collaborator, strong communicator, and an advocate for non-profit, community-minded arts.

This is a highly hands-on position, with opportunities for staff members to add their voices and their passions to our mission and programming. Staff members have been able to infuse the gallery with their personal style and bring forth ideas for transforming the space’s current offering.

Essential Duties:

1. Administrative Support
  • Create gallery sitting schedules and manage staff, board, and volunteers for gallery sitting shifts
  • Manage the gallery event schedule; including scheduling and serving as the point person for private events, exhibition events, and workshops
  • Gallery sit a 3-hour shift, at least two times a week; Gallery hours are Wednesday through Friday, 4–7 PM, and Saturday, 1–4 PM. Must have occasional weekend availability.
  • Serve as the point person for gallery maintenance, cleaning, and purchasing
  • Manage gallery’s general contact email
  • Coordinate organizational office requirements and other facility needs.
  • Processes income, bills, and invoices; monitors cash flow; and backs up QuickBooks and other databases.
  • Maintain and manage databases and archives
  • Work with donors to encourage/receive donations and send tax letters
  • Act as the project manager for the gallery. Using an online platform, enter projects, build workflow, monitor progress, and follow up as needed

2. Exhibitions Support
Supporting the exhibitions director, the operations director will:
  • Prepare contracts and other supplemental material for exhibiting artists.
  • Serve as a point of contact for artists for confirming event dates/times and event descriptions for receptions, artist talks, and demos, while coordinating with staff to confirm availability. 
  • Assist with the preparation of the gallery for new exhibitions.
  • Participate, along with board members and the rest of the staff, in the jurying of exhibition proposals
  • Prepare and set up the gallery for events.
  • Coordinate and facilitate the payment of juror stipends

3. Special Event Coordination
  • Co-plan all special events (~4 a year) with board and staff

Staff-wide Responsibilities:
  • Be an ambassador for Gallery 263 programs
  • Maintain the appearance and cleanliness of the space
  • While gallery sitting, greet gallery visitors and answer questions about artwork on display
  • Adhere to timelines and strive to meet projected program revenue goals
  • Attend staff meetings, quarterly board of directors meetings, and committee meetings as needed
  • Engage in strategic planning with staff and board of directors
  • Develop and facilitate partnerships with local organizations, associations, and businesses
  • Contribute to fundraising, marketing, and donor cultivation strategies and projects

Qualifications:
  • Bachelor’s degree preferred
  • Passion for the arts and fostering and investment in fostering local community
  • Excellent communication, writing, and organizational skills
  • Ability to work autonomously as well as collaboratively with colleagues, volunteers, artists, and board members
  • Flexibility to work some nights and weekends with general availability Wed–Friday, 4-7 PM, and Sat, 1-4 PM). Flexibility to work from home to complete some tasks.
  • Experience with WordPress, Excel, QuickBooks, project management desired
  • A good sense of humor is a plus!

Applicants with fundraising, bookkeeping, and writing backgrounds are encouraged to apply. Knowledge of the local arts scene is a plus, but an art background is not required.
