Job Summary
This position is assigned to work in the Document Services Unit to perform document file reviews at the Minnesota Pollution Control Agency (MPCA). This position provides response assistance to information requests submitted by external and internal customers. This position assists in maintaining document filing systems for the agency and provides administrative support so that paper and electronic documents and correspondence are easily and readily available for use and inspection. Responsibilities include to respond to large volumes of information requests by researching multiple databases for relevant material and collaborates with diverse agency staff at all levels of the agency as needed to fulfill standard information requests through oral and written communication.

Minimum Qualifications
  • Basic principles, practices, and techniques of database management with the ability to research, maintain, update, and retrieve information from database systems.
  • Ability to use computer programs (e.g., Microsoft office products, Word, Excel, Power Point, Teams, Intranet/internet, Outlook, ShareBase) and equipment (e.g. computer, facsimile, scanner, photocopier, label machines).
  • Skill in organizing and prioritizing work. Ability to assist in defining problems and offering alternative solutions.
  • Demonstrated ability to work independently and on a team to provide high quality, prompt, courteous and accurate customer service.
  • Ability to deal effectively with members of the public and with internal staff/management.
  • Writing skills, including Business English, grammar and spelling, necessary to organize and effectively present ideas to the intended audience.

Preferred Qualifications
  • Records experience.
  • Knowledge of electronic file management systems.
  • Experience using OnBase and Tempo.
  • Knowledge of data practices regarding records and records retention.

Physical Requirements
Requires occasionally lifting such articles as file boxes or heavier materials with help from others and/or lifting and carrying light objects frequently. Even though the weights being lifted may only be a negligible amount, a job is in this category may require walking or standing to a significant degree or may involve sitting most of the time with a degree of pushing and pulling of arm and/or leg controls.
