Executive Assistant to the President/CEO and Board Liaison

POSITION OVERVIEW:
The Executive Assistant to the President and Board Liaison, IWPR provides executive support and assistance in a one-on-one working relationship to the President/CEO. They serve as the primary point of contact for internal and external constituencies on all matters pertaining to the Office of the President. The Executive Assistant to the President and Board Liaison also serves as a liaison to the board of directors and senior management teams; organizes and coordinates executive outreach; and oversees special projects.
This is an on-site position. The Executive Assistant to the President and Board Liaison must be self-directed and motivated, and enjoy to achieve high impact results and outcomes. The Executive Assistant will work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.
DUTIES AND RESPONSIBILITIES:
Executive Support:
  • In partnership with the Executive Assistant to the President/CEO to plan, coordinate and ensure the CEO's schedule is followed and respected. Provides "gatekeeper" and "gateway" role, creating win-win situations for direct access to the CEO's time and office.
  • Communicates directly, and on behalf of the President and CEO, with Board members, donors, IWPR Advisory Board, Foundation staff, and others, on matters related to CEO's programmatic initiatives.
  • Researches, prioritizes, and follows up on incoming issues and concerns addressed to the President, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response.
  • Provides a bridge for smooth communication between the President's office and internal departments; demonstrating leadership to maintain credibility, trust and support with senior management staff.
  • Works closely and effectively with the CEO to keep her well informed of upcoming commitments and responsibilities, following up appropriately. Acts as a "barometer," having a sense for the issues taking place in the environment and keeping the President updated.
  • Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
Board Support and Liaison
  • Manage and plan IWPR Board and Advisory Board meetings;
  • Serves as the President's administrative liaison to IWPR’s board of directors
  • Assists board members with travel arrangements, lodging, and meal planning as needed
  • Adhere to compliance with applicable rules and regulations set in bylaws regarding board and board committee matters, including advance distribution of materials before meetings in electronic/paper format.
Communications, Partnerships, and Outreach
  • Ensures that the President's bio is kept updated and respond to requests for materials regarding the President and the organization in general.
  • Help prepare for internal and external meetings and presentations including conducting background research.
  • Coordinate with IWPR Communications Department on media related events and interviews.
  • Edit and complete first drafts of written communications to external stake holders, including thank you notes.

Other Professional and Personal Qualities
  • Strong organizational skills that reflect the ability to perform and prioritize multiple tasks
  • Exceptional interpersonal and communication skills with the ability to build relationships with stakeholders, including staff, board members, external partners and donors
  • Strong writing, research and presentation skills
  • Knowledge of Microsoft Word, Outlook, Excel and PowerPoint are required
  • I-Contact knowledge is recommended
Bachelor’s degree with 5 years of experience supporting C-Level Executives, preferably in a non-profit organization, or equivalent
Salary
$58,000 to $72,000 and will be commensurate with experience. IWPR provides competitive salaries and a generous benefits package.

Vaccine Policy: IWPR has made the safety of our staff and our surrounding community a top priority. As part of that commitment, IWPR recently implemented a mandatory COVID-19 vaccination policy. This policy states that all IWPR employees, interns, fellows, (i.e.- IWPR staff) are required to be vaccinated against COVID-19 and to receive a booster shot. IWPR will require selected candidates to submit proof of complete vaccination against COVID-19 and having received a booster shot prior to extending a job offer. If a candidate has a qualifying medical condition that contraindicates a Covid-19 vaccination, a medical exemption form should be requested from Human Resources.
