Administrative Coordinator II - Office of Education & Training

The Office of Education & Training (OET) at the Fred Hutchinson Cancer Center houses programs that support a multitude of educational levels, including secondary school teachers, high school, undergraduate, and graduate students, postdoctoral fellows, and faculty. Our programs have a strong commitment to increase access and create pathways for those historically excluded from education and careers in scientific research. OET is seeking a full-time Administrative Coordinator to assist with providing effective project and administrative support for OET leadership and programs.

Responsibilities

Administrative and Event Management
  • Under the direction of the Assistant Director of the Office of Education & Training (OET) and the Senior VP of Education, provide administrative support to the Senior VP and other leadership.
  • Provide event and meeting coordination, including scheduling, venue and catering reservations, communication with participants, advertising, and associated logistics.
  • Coordinate preparation and monitoring of budget, maintaining accounting records of grants and institutional accounts, ensuring operation within allocated funds, and interacting with Accounting and Finance.
  • Perform administrative tasks including, processing travel reimbursements, honorariums, and check requests.
  • Manage daily appointment calendars including proactively addressing scheduling issues and conflicts to maximize obligations and ensure adequate time to accommodate any preparatory, travel or other requirements associated with scheduling. Attend meetings on behalf of leadership, as needed.
  • Develop, recommend, and implement policies and procedures related to program administration.
Communications
  • Coordinate development and distribution of materials including a quarterly newsletter, surveys, reports, event flyers, short YouTube videos, and other educational materials.
  • Manage and maintain internal and external program listservs and websites, as well as social media.
  • Serve as a liaison representing OET to other Fred Hutch departments, funding sources, affiliated individuals or institutions, and outside organizations.
Data and Grant Coordination
  • Manage and maintain program database.
  • Coordinate grant preparation materials, producing accompanying reports and non-technical sections, and assembling data, reviewing for accuracy and completion prior to submission.
  • Perform other complex special projects and assignments for OET and programs, as required.

Qualifications

Minimum Qualifications
  • Bachelor’s degree required
  • 6 years of progressively complex administrative/project coordination experience
  • Proficiency with Microsoft Office/Adobe
  • Working knowledge of Excel formulas and functions
  • Experience planning workshops and events
  • Ability to source data from systems and generate customized reports
  • Ability to tailor communications to specific audiences
  • Ability to navigate complex internal systems and departments
  • Basic budgetary knowledge (ability to reconcile, report budget information, etc.)
  •  
Preferred Qualifications
  • Administrative experience in an educational or research setting
  • Prior experience or exposure to grant writing/applications including the knowledge of Uniform Guidance and government funding rules
  • Familiarity with webpage and social media design
