U220086 - Executive Secretary to the Dean, SDM Dean's Office - SDM Dean's Office

Position Summary:
The University at Buffalo School of Dental Medicine is seeking a full time Executive Secretary for the Office of the Dean. The ability to prioritize and manage multiple projects simultaneously, and follow through on issues in a timely manner is critical to this role.
The Executive Secretary will be responsible for the following tasks:
  • Heavy calendar management, requiring interaction with both internal and external executives and assistants, as well as consultants, to coordinate a variety of complex executive meetings
  • Communicating and handling incoming and outgoing electronic communications on behalf of the Dean and senior management
  • Drafting important communication and reports and assist management with preparation of presentation materials
  • Working closely with the senior management and assist in coordinating School projects
  • Arranging travel schedules and making reservations for executive management as needed
  • General office duties

Salary Range: $45,000 – $55,000
Work Hours: 8 a.m. – 4:30 p.m.

Minimum Qualifications:
  • Associate’s Degree or 3 year’s experience as an executive secretary

Preferred Qualifications:
  • 5 years experience supporting management at the executive level
  • Calendar management skills, Outlook
  • Expertise in MS Office including Word and Excel
  • Experience in travel arrangements
  • Strong verbal and written communication skills
  • Strong decision making skills, attention to detail and ability to work independently with little or no supervision
