Job Purpose
Associate Director of Student Life Events and Operations acts as the Operations Manager for the Stern Student Center and Student Life managed facilities. Oversees the maintenance and scheduling of spaces within the facility. Responsible for management of the facilities reservation system, that receives more than 1,000 requests per academic year. Assists with the creation, revision, and application of policies related to the use of Student Life-managed facilities by on and off-campus groups. Provides direct supervision of the Assistant Director of Student Life Events and Operations. Responsible for the hiring, training, and professional development of student employees. Markets/promotes the Office of Student Life and Stern Center facilities and services to on-campus organizations and departments as well as off-campus groups. Represents the Office of Student Life on various campus-wide committees, including Commencement and the Emergency Management Team.
Minimum Requirements
Bachelor’s degree required as well as previous work experience in a college or university union setting, event planning or conference services. Master’s degree in Higher Education Administration, Public Administration, Student Personnel, Counseling, Leadership or related discipline preferred. Knowledge of and ability to apply student development theory to practical situations is also essential. Experience with event management/facilities reservation software systems preferred. Candidates with an equivalent combination of experience and/or education are encouraged to apply.
Required Knowledge, Skills and Abilities
Knowledge of facilities management/business practices. Familiarity with HVAC systems and maintenance needs for public facilities. Ability to develop budgets and monitor expenditures. Previous experience supervising students and ability to provide informational and educational training to student employees. Knowledge of reservations software and applications. Familiar with organizations and resources related to college unions/student centers (i.e. ACUI). Establishes and applies policies and procedures related to facility usage and risk management. Ability to create a welcoming and inclusive environment.
Additional Comments Regarding Position
Evening and weekend hours required. Occasional out-of-state and overnight travel. Occasional light lifting (up to 50 lbs.).

Oversees regular and scheduled maintenance of facilities and equipment. Oversees annual inventory of all equipment. Researches and recommends need for new equipment/resources. Develops and distributes emergency preparedness plan for the Office of Student Life and related facilities and provides education and training related to its implementation.

Oversees and coordinates the facility reservations process, including the development of policies, reservation approvals, event planning and implementation and ensures compliance with risk management and usage policies. Maintains online reservations system and works with other on-campus users to identify needs for updated systems or software, as needed. Serves as liaison to Campus Housing for Interns, Summer Camps, and Conferences. Meets regularly with Catering representatives regarding scheduled events in Student Life facilities. Communicates complex event information to campus constituencies with regards to events occurring in Student Life facilities.

3. Creates marketing/promotional materials for Student Life facilities to promote availability of facilities and services to on and off campus groups. Oversees design and maintenance of Student Life websites, including departmental main page and sites associated with the Stern Student Center. Responsible for management of the Student Life digital signage system, including maintenance of equipment and creation and revision of protocols related to its use.

4. Supervises and evaluates Assistant Director of Student Life for Events and Operations. Responsible for the recruitment, training, professional development, and supervision of student employees to provide comprehensive staffing for all functional areas within the Stern Student Center. Active participant in the planning and coordination of learning-outcomes based training for student employees. Assists with the identification/application of training resources and materials. Serves as a presenter/facilitator for training and continuing education efforts as needed.
