Executive Coordinator

Position Summary: Under the supervision of the Senior Vice President, Corporate Secretary/Chief of Staff, this position provides administrative and project support to the Office of Corporate Secretary (OCS) and the Communications/Engagement departments.

Compensation: The salary for this position will be no less than $40,000 annualized with a hiring range up to $55,000. Exact salary determined by experience, education related to the role, organizational compensation structure and internal equityAnnual salary increases and bonus payment based on performance.

Specific Duties:
  • Manages the day-to-day administrative needs of the Office of the Corporate Secretary and Communications/Engagement departments. This position requires working closely with senior management and staff across departments on a range of issues, some of which are sensitive or of a confidential nature.
  • Assists with board meetings, events, conference preparations and engagement activities related to CPB-funded content, programs, projects and collaborations, including day-of-event tasks.
  • Supports and coordinates the arrangements for internal and external engagement (i.e., Board of Directors schedules, internal and external meetings, prepares and tracks meeting logistics and deliverables, takes meeting notes, memoranda, invitations, presentation materials, and other documents).
  • Maintains electronic and record-keeping systems, such as reports, meeting materials, mail and attendance logs, and guest lists, so that information is tracked, organized and readily retrievable.
  • Arranges travel for department staff and guest speakers, processes expense reimbursements and invoices in accordance with CPB expense guidelines, monitors department budget expenditures.
  • Provides a high level of customer service, both internally and externally.
  • Performs other administrative tasks, as needed.

Required Education and Experience:
  • Associates degree from an accredited two-year college or university or equivalent work experience.
  • Experience working in an administrative position with similar level responsibilities.

Required Skills, Knowledge, and Abilities:
  • Strong interpersonal, organizational and communication skills, including attention to detail, providing customer service and maintaining confidentially of sensitive corporate matters.
  • Proficient with technology and experience utilizing MS Office (Outlook, Word, Excel, PowerPoint, SharePoint, Teams) and other systems and online tools.
  • Demonstrated abilities to work with a team, prioritize workflow, exercise independent judgment, and follow-through with minimal supervision and direction.
