EQB Executive Support - Job ID 59519

Job Summary
This position provides administrative and organizational support to the Environmental Quality Board (EQB), Executive Director, and staff project leads. This position fulfills administrative functions for monthly Board meetings in accordance with Minn. Rules 4405 including compiling agendas, coordinating presenters, preparing materials, taking minutes, and posting and circulating necessary meeting documents. They serve as the primary point of contact for EQB members, interagency staff, executive assistants, and the public on logistical and scheduling issues.

The position supports planning efforts and logistical coordination for all public EQB events including off-site board meetings, stakeholder meetings, subcommittee meetings, and the Environmental Congress. Duties performed in collaboration with EQB team members and external collaborators include coordinating, editing and compiling meeting materials, coordinating venue logistics, providing audio-visual support, purchasing materials and supplies, hosting event registration, and manage food orders.

This position serves as the principal EQB liaison to the Minnesota Pollution Control Agency (MPCA) for all support functions; ensuring compliance with MPCA and EQB policies and procedures, and assisting EQB staff in contracting, purchasing, and other business functions. This position oversees the implementation of the EQB records and data management policy, including coordinating responses to data requests and ensuring EQB program areas are following data management procedures.

Minimum Qualifications
Candidates must clearly demonstrate the following qualifications:
  • Three (3) years of experience performing administrative support functions to include strong organizational skills and attention to detail.
  • Excellent written and oral communication skills sufficient to provide clear, concise, courteous, prompt, and effective service in person, via e-mail and phone.
  • Experience scheduling meetings, making travel arrangements, reserving rooms and logistical support.
  • Word processing skills sufficient to use software to create, format, edit, print, and save a variety of documents, including spreadsheets, tables, charts, and graphs.
  • Ability to maintain a high level of confidentiality in dealing with information that is both sensitive and protected.
  • Ability to work independently and use sound judgement without close supervision.
  • Ability to resolve complex problems in a timely manner with limited supervision or direction.

Preferred Qualifications
  • Prior experience providing administrative support to executive or other senior-level management.
  • Advanced proficiency in Microsoft Office Suite.
  • Ability to clearly explain standards, policies, and procedures to internal and external stakeholders.
  • Experience preparing and editing documents and presentations for a public audience.
  • Experience collaborating in a team environment.
  • Prior experience with logistics or event planning.
