The Role

The Finance Associate is a member of the national team and will work in support of the accounting and finance functions of our mission-driven non-profit organization by assisting Finance staff in the day-to-day accounting and finance operations. The Finance Associate will support the finance team with administrative and process tasks within accounts payable, accounts receivable, payroll, and the general ledger. The Finance Associate will often work within tight timeframes to complete financial processes, will collaborate and communicate daily with staff across the organization, and will interface with vendors related to procurement and payment details.


Key Job Responsibilities

Accounting & Finance Support
  • Assist with accounts payable by ensuring that proper documentation and tax forms are on file, filing accounts payable vouchers, and mailing checks
  • Follow-up with employees and vendors for outstanding documentation, as needed
  • Post payments to internal tracking systems and compare to the detail posted in the general ledger
  • Post general and administrative expenses across spreadsheets for allocations to grants and contracts
  • Support accounts receivable billings by assisting in generating invoices and supporting documentation, tracking, and depositing checks received
  • Assist with budget process by populating budget spreadsheets and comparing them to internal trackers to ensure accuracy
  • Assist with semi-monthly payroll distribution and other payroll related tasks
  • Process subcontractor payments, including filing check stubs, printing invoices, and posting to the check tracker; request and follow up for internal approvals, as needed; submit invoices for payment and file invoices after payment; communicate with subcontractors about invoices and payments
  • Compile credit card reconciliations in online expense management software platform, review for proper documentation, and match reconciliations to monthly credit card bill
  • Other tasks, as needed

Qualifications and Experience

Education: You've likely earned a bachelor's or associates degree in finance, accounting, or other area of relevant study, or have had 1-3 years of related experience with financial data.

Professional Experiences and Personal Qualities/Skills: You likely have demonstrated exceptional attention-to-detail skills.


In addition, you have likely had the following experiences and have demonstrated the following attributes:

  • Enthusiasm for supporting the day-to-day activities of an accounting and finance department in an administrative capacity
  • Team player with ability to work collaboratively
  • Strong organizational and time management skills
  • Committed, focused, meticulous, and hard-working with excellent attention to detail
  • Excellent verbal and written communication skills
  • Self-starter with ability to work independently
  • Enthusiasm for learning new skills
  • Strong skills in Microsoft Office applications (Word and Excel), Google Docs, and Google Sheets
  • Experience working with financial data, spreadsheets, and/or financial systems
  • Experience in accounting field preferred
  • Knowledge of basic accounting principles and knowledge of non-profit accounting principles a plus

COVID-19 Vaccination & Testing
CSS requires all school-facing staff members to be fully vaccinated against the COVID-19 virus. As of the time of this position announcement posting, fully vaccinated means receiving two vaccination doses of either the Pfizer vaccine or the Moderna vaccine, or one dose of the Johnson & Johnson vaccine. Non-school facing staff members who are not vaccinated because of a CSS-approved medical or religious accommodation must submit a copy of a COVID-19 test result 48-72 hours in advance of any CSS-related in-person interaction (this includes in-person interaction with other staff, in-person training events, office visits, business meetings, and/or school visits).

Location
The Finance Associate will be based at CSS's New Jersey office, located in Princeton, New Jersey. A hybrid situation may be possible.

Work Environment/Physical Requirements
  • Prolonged periods of sitting at a desk and working at a computer, including participating in virtual videoconference meetings
  • Communicating with others in writing and verbally to exchange information

Compensation and Benefits
The anticipated starting date for this position is September/October 2022. The hiring salary for this position is $42,600 - $53,245. CSS offers the following benefits:
