Member and Visitor Services Coordinator

Member and Visitor Services Coordinator 

The Member and Visitor Services Coordinator  will maintain a well-ordered and positive member/visitor experience by serving as the first point of contact for members, guests, and visitors. 

As a front-line representative of the Athenæum, the person in this role will conduct themselves in a consistently pleasant and approachable manner. The coordinator will be a flexible, creative thinker and problem-solver, comfortable both with fielding inquiries and initiating member contact proactively. They will appreciate American history, literature, and/or art and will learn and share information about the Athenæum’s history, building, and collections. The Member and Visitor Services Coordinator will report to Emily Schuman Membership Manager. 

RESPONSIBILITIES 
  • Serves as front-line membership outreach and service coordinator, promoting and providing excellent membership services
  • Sells/renews memberships and answers questions about membership benefits; calls and emails members proactively to discuss membership renewals and other matters
  • Communicates accurate information about Athenæum programs and events to members, guests, visitors, and the general public
  • Welcomes visitors and members upon arrival, scans membership cards, ensures that visitors sign the guest book
  • Collects admission and other payments
  • Processes new and renewed memberships in Salesforce, handles member mailings and card needs
  • Answers and transfers inbound phone calls on the main telephone line 
  • Assists with registrations for tours and events as needed in conjunction with the Education and Events Departments
  • Reports attendance and visitor statistics
  • Manages and sells Boston Athenæum gift shop merchandise
  • Assists other staff members and volunteers in managing first-floor logistics
  • Collaborates with other departments to advance the library’s mission
  • Performs all other duties as assigned 
QUALIFICATIONS & REQUIREMENTS
  • One or more years’ experience in a position with relevant experience
  • Ability to energetically assess and anticipate needs and be a flexible problem solver while maintaining a positive demeanor 
  • Excellent communication, organizational, and multi-tasking skills
  • Ability to work both independently and in collaboration with others in a highly professional manner
  • Strong customer-service and interpersonal skills
  • Ability to work evenings and Saturdays
  • Proficiency with Google Workspace; comfortable with learning new technology
  • Experience with Square or other point-of-sale system preferred
  • Experience with a constituent records management database such as Salesforce preferred
  • Commitment to fostering a workplace culture of teamwork, diversity, and inclusion 
  • Submit to and pass background check, including criminal history, personal references, employment verifications and Registry of Motor Vehicles (if applicable)
