Job Purpose
Plans, coordinates, and performs a variety of complex operations in support of the students, faculty, and chair in the Department of Political Science. Maintains supplies, monitors the department budget, coordinates course scheduling, manages educational records, facilitates hiring processes, manages communication via social media and the department website, facilitates department events, and coordinates the internship program.
Minimum Requirements
A high school diploma and one to two years of relevant administrative experience. Bachelor’s Degree preferred. Professional demeanor, strong interpersonal skills, in-person presence on campus, and ability to maintain confidentiality are essential. Candidates with an equivalent combination of experience and/or education are encouraged to apply.
Required Knowledge, Skills and Abilities
Knowledge of modern office practices and procedures, including major software packages, data management tools, and social media; knowledge of financial and budgeting practices and ability to forecast expenditures; ability to prepare reports utilizing data and text; ability to maintain effective working relationships with members of the public, students, faculty and College Staff; excellent written and oral communication skills. Knowledge of FERPA and governing policies in higher education. Ability to maintain confidential information and private data with discretion.

Support the hiring and onboarding processes for new full-time faculty and adjunct faculty; prepare adjunct appointments each semester. With the Chair, coordinate the search process for new faculty, including creating and maintaining candidate files and coordinating all required EEO reporting. Recruit, hire, train and supervise student workers.

Activity
Responsible for the administration of the Political Science Department. Provide direct support to the Department Chair and Associate Chair in their ongoing work and assisting faculty. Maintain the department budget, provide the Chair with monthly reconciliation reports and produce a year-end report for the department. Forecast spending, serve as liaison to vendors, maintain contracts, pay invoices, and order supplies. Maintain technology inventory records. Collect, compile, and maintain all data necessary for the production of the annual report and required reporting for the College and department assessment work. Facilitate the declaration of major process and assign faculty advisors; maintain an updated database of majors, minors, and concentrators.

Activity
Coordinate the Political Science internship program; Develop and maintain community, regional, and national contacts for student internships and serve as the primary point of contact in Political Science; collaborate with Career Services and faculty to prepare students for a successful internship search and placement; maintain a database of successful internship placements. Work directly with students to assess their interests, graduate school plans, and career goals and make recommendations for placement.

Activity
Serve as the first point of contact for students, faculty, staff, and community members in-person and via other mediums. Regularly review, revise and refresh the Political Science website and social media. Coordinate with the Chair and faculty to create and distribute the Advising Newsletter, Handbook for Majors, publicity for speakers and events, alumni communication, and regular updates to majors and faculty. Plans and organizes departmental events(food services, travel, parking, housing, etc) .
