Management Support Assistant

Applications for a Management Support Assistant will be accepted effective immediately. 
 
Location of position: National Museum of Natural History, National Mall, Washington DC, USA
 
The incumbent works for the Forest Global Earth Observatory (ForestGEO), a global network of research sites and scientists committed to the study of tropical and temperate forests. The Management Support Assistant
supports the ForestGEO Program Manager and Director and, in turn, the entire ForestGEO program.
 
You will have the following responsibilities:

Events & Travel
  • Make travel arrangements, including hotel and airline reservations, prepare travel authorizations and ensure timely submittal of travel vouchers for staff and scientific partners
  • Contributes to planning and management of events and workshops including organizing catering, meeting space and agendas, as well as virtual events, such as the ForestGEO Seminar Series.
  • Assists in the coordination of schedules and prepares agendas for meetings and conferences, background and briefing materials and documents.
 
Communication and Outreach Support
  • Assists with the writing of content for website, blog, social media and printed brochures and other outreach materials.
  • Maintains ForestGEO social media presence including Twitter, Facebook, Flickr, and Google Scholar. Supports development of goals and strategy for ForestGEO social media with ForestGEO staff.
  • Maintains ForestGEO website and posts regular updates to news blog.
  • Manages listserv and sends out relevant news, publications, and quarterly updates to the network.
 
Administrative Support
  • Screens incoming questions and correspondence about ForestGEO. Acts as a point of contact for disseminating information. Responds to emails sent to the ForestGEO public email account and to written correspondence.
  • Handles incoming and outgoing shipments and mail.
  • Develops standard operating procedures for travel, administrative projects, and communications/outreach. Follows Smithsonian procurement rules to purchase supplies.
  • Collaborate with program and scientific staff on other administrative projects as needed.

Required Qualifications
  • Bachelor’s degree in environmental science, ecology, or related field
  • Knowledge of computer software applications (MS Office, Windows, Excel, and other related to his/her duties)
  • Skill in file maintenance
  • Skills in writing, editing, and proofreading
 
Preferred Qualifications
  • Experience with Drupal, or other content management systems
  • Experience writing for a blog, website, or social media
  • Knowledge of Smithsonian Institution systems
