Events Coordinator

The Communications department at Cold Spring Harbor Laboratory is seeking an Events Coordinator to provide logistic planning and support for all Communications Department digital and in-person events and programs including but not limited to:lectures, concerts, and other events intended primarily for targeted external communities, the general public, and media; develop promotional and collateral material.

Additional Responsibilities:
  • Serve as primary contact for information on all Laboratory events.
  • Develop and maintain procedures and policies to coordinate events at CSHL facilities that are sponsored by programs, departments, and divisions with required services and resources provided by both CSHL departments and external vendors.
  • Provide reports and updates on planned events to President/CEO and COO offices as necessary
  • Oversee a complex calendar of all CSHL events
  • Ensure events at CSHL facilities do not compete for space, services, and resources or create conflicts with the leadership calendar.
  • Lead monthly meetings of CSHL programs, departments, and divisions that host events to plan for and coordinate event logistics, services, and resources in advance of proposed event dates.
  • Manage the use of CSHL facilities by external third-party organizations
  • Oversee internal operational/departmental/divisional requirements associated with third-party usage of CSHL facilities, including administration of applications and the internal/external vendor services required to support the event.
  • Manage public tour program, including recruitment, training, and management of guides and development of scripts and collateral material; coordinate with other departments and divisions that host tours.
  • Support the Communications Department Public Relations Pillar to implement a strategy that increases visibility and awareness of CSHL among broader non-scientific audiences/communities by integrating digital and in-person tactics.
  • Triage all public inquiries and provide support to the Communications Team as required.

Position Requirements
EDUCATION: Bachelor’s Degree

EXPERIENCE: 3-5 years of related experience

SKILLS: Must be well-organized, detail oriented, and able to effectively work independently and within a team framework. Must be able to prioritize, possess good follow-up skills, be dependable, and manage a heavy workload. Should be proactive in coordinating and managing multiple events and be willing to take on additional responsibilities when needed. Must have excellent interpersonal and communication skills. Strong knowledge of Microsoft Office, including Word, Excel, and Publisher required and experience with social media and digital technology is necessary. Must be able to build working relationships and ability to work under tight schedules.

OTHER: The ability to work nights and weekends is required.
