Project Assistant - (International Trade - National Security/Supply Chain)

SUMMARY/OBJECTIVE:

Wiley, a leading DC law firm, is seeking a Project Assistant to join our team! The Project Assistant position is an entry-level position for qualified applicants in the firm Legal Support career path. It is designed to build skill proficiency in project/task management; identification and support of business development efforts; research and analysis of legislation, regulations, case law, and factual data; and finalization and submission of various documents for submission to clients, courts, and agencies.
Through training and experience, the Project Assistant will gain experience with filing of case materials before various agencies and courts; assemblage and production of pleadings, exhibits, and/or practice area projects.

RESPONSIBILITIES/ESSENTIAL FUNCTIONS:

  • Works with attorneys, Trade Analytics Group professionals, and other paralegal staff on client billable, business development, pro bono, and practice area projects to meet the firm's minimum hours’ expectations (1600 chargeable hours annually), and assumes responsibility for increasingly complex work
  • Provides direct support to chair of National Security practice, including schedule maintenance, task tracking/follow-up, records organization/management, forecasting needs, and coordination of resources within the practice and other firm departments for projects and deadlines
  • Maintains schedules/itineraries and actively participates in planning and preparation for attorney speaking engagements, events, meetings, and other activities
  • Coordinates finalization of documents, including coordinating with co-authors, maintaining control of document versions, proofreading/cite-checking, and distribution of final product
  • Coordinate filing and be able to file documents with government entities, including Regulations.gov, and track/organize submissions made on behalf of clients and the firm
  • Performs and prepares written summaries research as requested by practice attorneys
  • Maintains standards and templates for frequently-used documents, emails, hearing summaries, meeting agendas, etc. for efficiency and consistent work product
  • Tracks and analyzes legislative, regulatory, and political matters of interest to the International Trade practice group and/or clients including pending/proposed legislation and regulations
  • Actively develops project/task management, research, tracking, and analysis skills
  • Meet the department's expectations to retrieve, read and/or respond to firm and client-related e-mail messages during and outside of core business and scheduled work hours by connecting a personal mobile device (smartphone or tablet with a data plan) to the firm's network


KNOWLEDGE, SKILLS, AND ABILITIES:

  • Ability to communicate professionally and effectively, both in oral and written form
  • Ability to multi-task, prioritize/coordinate deadlines, track progress of tasks, and respond dynamically to changing needs
  • Willingness to take ownership of projects and tasks assigned and coordinate with appropriate resources to see them through to completion
  • Ability to organize workflow and use time efficiently
  • Ability to demonstrate attention to detail and accuracy
  • Demonstration of strong problem-solving acumen
  • Maintenance of strict confidentiality of work-related information and materials
  • Demonstration a positive attitude and be able to build strong interpersonal relationships
  • Establishment and maintenance of effective working relationships in or out of a team environment
  • Proficiency in Microsoft Office Suite and Outlook; Adobe Acrobat; Excel, aptitude for learning new software strongly preferred
  • Experience in proofreading documents for grammar and spelling errors
  • Flexibility and willingness to work overtime on an as needed basis
  • Ability to travel locally
  • Flexibility and willingness to respond to issues during and outside of core business hours

EDUCATION AND EXPERIENCE:

  • Bachelor’s degree with minimum 3.0 GPA or equivalent work experience required
  • Experience with international trade, national security, or supply chain policies a plus
