Program Assistant (Hybrid)

In this Hybrid position, you will need to be in the office at least two or three days a week.
 
As a Program Assistant, you will be responsible for the general administrative operations of the office. The Program Assistant is a primary point of contact within our office building on 24th Street. Your work as a Program Assistant will be instrumental in maintaining reception duties, holding interviews, scheduling and documentation responsibilities, coordinating coverage among the administrative team, and being part of program development and site safety.

Responsibilities

  • Answer multiple phone lines, transfer calls, and recording messages
  • Schedule interviews, meetings, events, or site wide trainings for SF Connections’programs
  • Photocopy, and otherwise distribute incoming and outcoming mail, messages, or memos
  • Maintain multiple program purchase order requests and petty cash
  • Support program development by being one of the leads for the WFI and DCR
  • Maintain program SharePoint, documents, brochures, and informational pamphlets as required for the program
  • Assist in reporting including maintaining reports, sending reports to county or community partners,and other reporting as requested
  • Maintain program site donation inventory and other necessary supplies for staff, youth, family needs
  • Update and maintain program documents and manuals such as training material and other resources
  • Serve as program Site Safety Officer and collaborate with centralized facility team to ensure site compliance
  • Record and distribute meeting minutes for various internal staff meetings

Qualifications

  • Must have excellent organizational, computer, and communications skills
  • Education/Experience requirements:
  • Bachelor’s degree OR
  • Associate degree or equivalent and 1 year of applicable work experience OR
  • High school diploma/GED and 2 years of applicable work experience
  • Applicable work experience includes any administrative position (paid or unpaid) requiring frequent data entry, the ability to prioritize multiple projects within strict deadlines, and coordination with multiple departments
  • Bilingual Preferred
  • Capacity to engage and develop rapport with youth, families, and community partners from a wide variety of racial, ethnic, and socioeconomic background
  • Must be 21 years of age or older
  • Own vehicle, driver’s license, and insurability through Seneca’s automobile policy
  • Ability to work as a member of multi-disciplinary team
  • TB test clearance, fingerprinting clearance, and all other state/federal licensing or certification requirements
  • Proof of Covid-19 vaccination and booster

Schedule

  • Monday - Friday, 9:00am - 5:00pm
  • Hybrid in the office at least two or three days a week
  • Flexibility to work evenings and weekends

Benefits

  • Starting at $24.00 per hour. The actual salary is dependent on creditable experience above the minimum qualifications for the role.
