Pay: $50,000 - $52,000 per year, dependent on experience and education

Position Overview:
MassCEC seeks a talented and motivated candidate to serve as a Program Administrator on the Workforce Development team. Successful candidates will provide strong program administrative and data collection skills with a keen interest in helping Massachusetts achieve its 2050 net zero emissions goals by increasing awareness and access to a wide range of career opportunities in the growing clean energy industry. 

Reporting to the Program Manager, the Program Administrator will directly support our longstanding and award-winning Clean Energy Internship Program, which has helped over 5,000 interns explore careers in clean energy. This position blends the daily program administration responsibilities of customer support to interns and employers, data entry of key program metrics, and contract and invoice processing with frequent opportunities to collaborate on program improvement, outreach efforts, and integration of broader workforce goals. 

Core Responsibilities:
  • Coordinate the Internship Program by reviewing employer applications and student information, managing application queues and tracking, providing timely responses to program inquiries, and working with the Program Manager to draft all award letters and program documents.
  • Communicate effectively with a wide range of stakeholders including interns, employers, community-based program staff, post-secondary career support staff, industry association leaders, and workforce development professionals.
  • Proactively review, adjust, and enhance existing program administration workflow and tools increase efficiency and adjust to changing program needs.
  • Maintain detailed databases and supporting files on the internship program and other workforce programs and ensure proper processing and archiving.
  • Record and maintain awards and invoices in the award management system, assisting program managers across the team in monitoring and advancing contracts and awards processes to ensure integrity, efficiency, and data awareness.
  • Alert Program Manager to potential problems and work cooperatively with the program team and relevant stakeholders to ensure prompt resolutions.
  • Support program outreach efforts by attending career fairs and industry events and drafting external communications. 
  • Support program development and improvement efforts by conducting research, supporting stakeholder outreach, drafting program documents and policies.
  • Work with the communications team to update program information on the website, job board and cleanenergyeducation.org and send emails about program updates to stakeholders.
  • Support ongoing troubleshooting of the internship and job board website components by being responsive to employer and student needs and collaborating with the external website developer. 
  • Delegate tasks to and assist in the supervision of interns.
  • Perform additional tasks or engage in applicable research as assigned by the Program Manager and senior members of the workforce development team.
 
Position Qualifications:
Education:
  • Bachelor's degree, preferably in human services, business management, education, energy or environmental science/studies, or related field.

 Experience:
  • At least one year of experience in project administration or other relevant position;
  • Experience in the public sector, renewable energy industry, career services, workforce development, or grant administration a plus; and
  • Three years of experience using Microsoft Excel, Word and Outlook, with at least one year of experience acquired in a work setting (including part-time employment or internships).
 
Knowledge, Skills, and Abilities:
  • Experience with databases and large data sets
  • Proficient in utilizing the formulas, conditional formatting, data sorting, and pivot tables in Excel; 
  • Excellent quantitative, research and analytical skills
  • Knowledge of and/or interest in young adult workforce development or college career services
  • Solid written communication skills with the ability to craft and edit effective documents for a range of purposes and audiences;
  • Rigorous attention to detail and well-developed organizational skills;
  • Demonstrated ability to manage multiple priorities effectively;
  • Ability to work independently and collaboratively as needed 
  • Excellent interpersonal, diplomatic, and verbal/written communication skills, including with high volume/customer service assignments;
  • Excellent problem-resolution skills, and demonstrated ability to make informed decisions;
  • Demonstrated ability to work with internal and external stakeholders, and cultivate appropriate relationships;
  • Ability to read and absorb complex contracts, polices, rules, etc. and extract the information needed to ensure compliance with each;
  • Working knowledge of basic accounting and payment processing (budgets, invoices, etc.) preferred; and
  • Must be able to comply with MassCEC’s Mandatory Covid-19 Vaccination Policy (requiring either full vaccination or the grant of an exemption prior to commencement of employment) developed in response to Executive Order 595 issued by Governor Baker.
