The Office of Advancement builds lifelong relationships with alumni, parents, and friends, and engages them in support of Wesleyan’s educational mission and financial goals. Wesleyan University is preparing for the public launch of a comprehensive fundraising campaign . The Advancement team fosters pride in the Wesleyan community and develops support for university initiatives through outreach activities, including development/fundraising, alumni & parent relations, and both on- and off-campus events.

Reporting to the Sr. Associate Director of Reporting & Gift Accounting, the Assistant Director is responsible for improving upon and maintaining the financial accounting and reporting functions related to Wesleyan’s matching gift program as well as gifts received through the Corporate, Foundations and Government Grants office.

The position is responsible for the management of the matching gift program, communicating with donors and corporations, as well as maintaining information regarding the program.

The Assistant Director will assist on projects to resolve matching gift accounting issues, improve methods and procedures, and provide timely and helpful information to the Office of Advancement related to matching gifts.

The position works closely with Wesleyan’s gift entry, fundraising teams, matching gift automated interface platform(s), and the Finance Department. The position also supports the Grants Office administrative functions and gift reconciliation within the Advancement database.

Responsibilities Include:
  • Ensuring donors’ matching gifts are allocated properly in the donor database and are reflected correctly in fundraising totals. Maintaining the matching gift processing standards.
  • Assisting in the development of a comprehensive matching gift program aimed at increasing the university’s revenue through matching gifts.
  • Providing donors with appropriate information and guidelines to make the match process as effortless as possible.
  • Maintaining and updating the matching gift information on software such as Double the Donation as necessary.
  • Sending timely acknowledgments to individual donors and matching gift companies.
  • Maintaining the matching gift section on the fundraising pages of the website.
  • Assisting in semi-annual reconciliation process.
  • Providing customer service to donors, corporate contacts, and internal staff regarding matching gifts.
  • Compiling monthly reports to reconcile grant funds from our Financial system to our Donor CRM/Database (Affinaquest).
  • Drafting and/or reviewing annual grant financial reports for accuracy and conformance to grant guidelines.
  • Running monthly fundraising and financial grant activity reports.
  • Developing grant budgets in the Wesleyan financial system for new proposals.
  • Completing and/or reviewing standard proposal and grant application forms.
  • Monitoring compliance with financial conflict of interest forms and other compliance forms as needed.
  • Maintaining grants office website.
  • Other duties as assigned

Minimum Qualifications:
The position requires an organized, proactive, and energetic individual who will work effectively with donors and corporations.

Bachelor’s degree and a minimum of two years accounting experience or an equivalent combination of education, training, and experience in a related field (bookkeeping, banking, accounting, auditing, or data processing).

Strong interpersonal communication, attention to detail and problem-solving skills.

Demonstrated ability to work independently and take initiative.
