JOB TITLE: Legal Assistant

FLSA STATUS: Non-Exempt

REPORTS TO: David Boies/Chairman

HOURS: 12:00 p.m – 8:30 p.m.
(Rotating coverage on Sundays and holidays)

JOB LOCATION: Armonk, New York

SUMMARY: This position works collaboratively with a dedicated team who supports the Chairman of the firm. The individual will provide administrative support to the Chairman with three other Legal Assistants during the week and on rotating Sundays and holidays.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
• Prepare and edit confidential documents
• Transcribe frequent phone dictation
• Arrange extensive travel plans with travel assistant
• Review emails throughout the day to ensure a timely response. Stay on top of important emails and bring them to the Chairman’s attention for a response or follow up
• Calendar management-providing back up to the Executive Assistant working in our NYC office
• Answer busy telephones
• Input attorney diaries
• Heavy typing
• Other general administrative duties as assigned

EDUCATION AND /OR EXPERIENCE:
The ideal candidate will have at least 3 years of similar experience providing executive/administrative assistance in a legal environment. Prefer a BA/BS degree. Strong leadership abilities, people and project management skills, and an ability to identify and implement creative solutions to enhance productivity, efficiency, and effectiveness of operations, systems, and procedures. The successful candidate must be an exceptional team player who possesses analytical and decision making skills, excellent time management, interpersonal, written and oral communications skills, the ability to multi-task, and problem solve. The candidate must be highly organized and pay attention to detail with a high level of accuracy. The individual must also be able to work in a highly confidential and sensitive environment.

LANGUAGE SKILLS:
Ability to read, write, analyze and interpret documents and needs of internal and external clients. Ability to respond to common inquiries or complaints from internal clients, regulatory agencies, or members of the business community. Ability to effectively present information to management, public groups and others.

TECHNICAL SKILLS:
High level of proficiency with MS Word, 65 wpm typing speed. Basic knowledge of PC and Microsoft Office products such as PowerPoint and Excel. Ability to conduct detailed internet research. Knowledge of Westlaw and Lexis is helpful. Knowledge of iTimekeep and NetDocs is a plus.

AVAILABILITY REQUIREMENTS:
a) Attendance Requirement
Must maintain regular and acceptable attendance at such level as is determined in the Firm’s sole discretion.
b) Regular Hours Requirement
Must be regularly available and willing to work at least 7.5 hours per day, 37.5 hours per week as the Firm determines are necessary or desirable to meet its business needs.
c) Overtime Requirement
Must be available and willing to work such overtime per day or per week as the Firm determines is necessary or desirable to meet its business needs.
d) Weekend and Holiday Requirement
Must be available and willing to work such weekends and holidays as the Firm determines are necessary or desirable to meet its business needs.
e) Travel Requirement
Must be available and willing to travel to such locations and with such frequency as the Firm determines is necessary or desirable to meet its business needs.
