Job Description
We are looking for an Administrative Specialist to join our growing team in Thousand Oaks, California. As an Administrative Specialist, you will facilitate all aspects of daily operation, from ensuring compliance to engaging in vendor negotiations and providing administrative support. You will work closely with the entire team, including executive officers, software engineers, business professionals, vendors and lawyers.   • Perform all administrative activities for the company
  • Maintain licenses, permits and agreements
  • Manage compliance requirements
  • Negotiate with vendors for business purchases
  • Manage accounts receivables and payables
  • Manage office policies and maintain standard procedures
  • Assist in recruitment, from screening candidates to onboarding new hires
  • Coordinate employee benefits
  • File and maintain paper and electronic records
  • Schedule meetings and events
  • Track office supply inventory and order supplies
  • Maintain a clean, safe and presentable office setup

  • 2 years minimum of administrative experience
  • Must have Associates Degree with 3.3 or higher GPA
  • Excellent verbal and written communication skills
  • Strong attention to detail
  • Strong organizational skills
  • Flexible and reliable
  • Problem-solving skills
  • Ability to multitask and manage time effectively to handle multiple projects simultaneously
  • Ability to work with a team as well as independently
  • Resourcefulness, creativity, ability to improvise and take initiative
  • Proficient in Microsoft and Google Suites, Trello and CRM
