Responsibilities

This role provides administrative support for Performance and Curatorial Departments in budget management, contracting, expenditure requests, purchasing, travel, correspondence, data compilation and entry, report preparation, database creation, administrative office operations, and related tasks.
  • Creates work orders as needed to support operational components of programs and exhibitions. May make department budget recommendations based on exhibition and programming needs. Responds to or directs external inquiries related to exhibitions, performances, and collections.
  • Works with Performance Program Coordinator to assist with logistical implementation and monitoring projects and production plans for exhibitions, performance programming, curatorial publications, and special projects.
  • Arranges guest artist/company travel, accommodations, payment, per diem, and assists with artist services and tasks related to fulfillment of contractual obligations such as details of a rider, shipping/freight for production/exhibition equipment, and equipment rentals when necessary. Assists the Performance Program Coordinator with VISA processing and required procedures for appropriate payment of foreign performers/artists.
  • Supports administrative and operational needs of the Historic Asolo Theater as requested by the Curator of Performance Programs and/or the Technical Director.
  • Serves as the primary contact for the preparation and distribution of interdepartmental communications with Finance & Accounting, Marketing & Communications, Development, Visitor Services, Facilities, Events, and Security. Assists in Compiling content and images for Marketing and Communications related to performance programs. Provides necessary information related to performance, art installations, and exhibitions as needed to assist Development with grants and fundraising opportunities. 
  • Schedules staff meetings, creates agendas, takes notes of meetings, and distributes, to appropriate staff. Attends weekly calendar meeting. Other duties as assigned.

Qualifications

This role requires:
  • High School Diploma or Equivalent and 4 years' experience.
  • Please note that higher education can substitute for experience at the equivalent rate.
  • Ability to prioritize, organize and perform multiple work assignments simultaneously.
  • Ability to prepare and monitor budget information.
  • Knowledge of applicable computer applications such as Microsoft Office Suite and basic computer functions.
  • Ability to communicate effectively verbally and in writing and to establish and maintain effective working relationships.
Please note that if selected for an interview, it will be followed by a work sample using Microsoft Word and Excel.

Preferred

  • Experience using monitoring and maintaining a budget.
  • Effective communication skills including verbal and written.
  • Ability to problem solve.
  • Previous experience working in the arts and interpreting theatrical union rules and federal immigration/VISA regulations.

Anticipated Salary Range

The anticipated rate of pay will vary be based on the education, skills, and experience of the selected candidate. Please note that majority of applicants will be offered a midpoint of a range between $15 - $19 per hour.

Soft Money Funded Position

This position is time-limited based on soft money funding, with renewal contingent upon available funds and the needs of the University.

Schedule

Monday - Friday from 8:00 AM to 5:00 PM with a one hour lunch break. Please note:
  • Evenings, weekends, special events, or holidays may be required based on the needs of The Ringling.

Criminal Background Check

This position requires successful completion of a criminal history background check, to include fingerprinting. The background check will be conducted as authorized and in accordance with University Policy 4-OP-C-7-B11.
