Operations & Site Specialist - Family Justice Center

Job Description
The mission of the Boston Public Health Commission (BPHC) is to protect, preserve, and promote the health and well-being of all Boston residents, particularly the most vulnerable. The Family Justice Center of Boston is a program of the Boston Public Health Commission within the Division of Violence Prevention. The FJC fosters collaboration among on-site partner agencies serving survivors of domestic and sexual violence.

Role
The Operations & Site Specialist provides facility oversight/management of the FJC and coordinates with City of Boston's Property Management Department, and other Departments within BPHC and BPD, etc., as needed, and ensures that facility environmental and safety needs are addressed (directly performing repairs is not required).

Duties
  • Work with FJC Program Director, FJC members, BPHC Property Manager, and City of Boston Property Management to ensure building is safe, functioning, and accessible.
  • Attend to site maintenance issues and maintain a 'reports and response' log
  • Site maintenance includes but is not limited to, communicating as needed with Property Management and IT Departments and vendors re: custodial services, pest control, HVAC, IT and electrical, plumbing, general repairs (lightbulb replacements, etc.) grounds maintenance (e.g., snow removal, etc.).
  • Conduct daily-walk thru inspections of the FJC building and grounds
  • Submit requests for service to City of Boston's Building Maintenance Department via an online portal/link.
  • Maintain On-site Operations Procedure Manual that informs all FJC-based staff of onsite practices and policies.
  • Maintain records related to FJC-based staff ID Access badges - and communicate with/respond to BPD, as needed, regarding functionality of electronic ID Access system and other door access issues.
  • Post and distributes emergency telephone numbers
  • Maintain FJC log re: dedicated parking spots and diagrams related to available parking in the vicinity
  • Support onsite partners with set up/break down in preparation for meetings and events, including IT, conference phone, zoom equipment
  • Sort all incoming and outgoing mail and packages
  • Order office supplies/track inventory
  • Ensure water deliveries and made and water dispensers are maintained
  • Ensure the good working condition of BPHC/FJC furniture and equipment including computers, printers, multifunctional devices, kitchen appliances, etc.
  • Organize storage areas as well as moving and arranging equipment and staff office furniture
  • Accompany vendors in the building during inspections of fire/smoke alarms, security, elevator, etc.
  • Working alongside the FJC Client Navigator, share front desk functions that include manage reception area; create a welcoming environment; greet clients, visitors, and colleagues; answer phones; provide guidance to those seeking services (in-person, phone, online), etc.
  • Perform other duties as required.

Minimum Qualifications
  • Bachelors' Degree and 3 years of relevant experience OR High School Diploma/GED Certificate and 5 years' relevant experience
  • Must be able to lift, pull, push and carry at least 30lbs.
  • Experience operating various types of office equipment, audio visual equipment, etc.
  • Must be self-starter with excellent organizational and follow-up skills
  • Proven ability to solve problems, make decisions and handle many tasks in a complex environment, working both independently and as a key team player.
  • Excellent written, oral communication skills and quality control skills.
  • Familiarity with Word and Excel and design/layout software
  • Bi-lingual desired

City of Boston Residency Required. A Criminal Offenders Records Information request must be completed for this position.
