Payroll and Operations Assistant

About The Department of Human Service Programs:
The Department of Human Service Programs (DHSP) creates and coordinates services that enhance the quality of life for Cambridge residents. Driven by the needs of residents, DHSP’s extensive services and programs touch almost every sector in the city: from newborns to senior citizens, from school-aged children to homeless families, from non-profit organizations to local employers. 


About The Role:
The Office of Workforce Development provides a variety of programs related to employment, job search and career exploration. The Payroll and Operations Assistant will provide support to several of these programs, primarily the Mayor’s Summer Youth Employment Program and the operation of the Youth Employment Center at Cambridge Rindge and Latin School. 


ESSENTIAL DUTIES AND RESPONSIBILITIES:

  •  Manage and track payroll for several school-year youth employment and internship programs, including collecting and correcting timesheets and communicating with partners about youth work hours.
  • Administer weekly payroll for approximately 900 participants and staff of our summer youth employment program.
    Assist with youth intake and hiring paperwork.
  • Assist with hiring and training of summer staff on payroll processes.
  • Enter data with a high degree of accuracy and efficiency and check databases for duplicates or errors.
  • Update and maintain spreadsheets and contact lists for outreach to potential summer worksites.
  • Maintain positive and productive relationships with colleagues from DHSP and City Personnel and Payroll staff.
  • Do outreach to local employers to collect information about current job openings and application procedures.
  • Develop and maintain an MSYEP alumni career database.
  • Assist with staffing the Youth Employment Center at Cambridge Rindge and Latin School, and with staffing the reception desk for the Office of Workforce Development.
  • Actively participate in the Department’s race and Equity Initiative.


MININIUM REQUIREMENTS:

Education and Experience:
 

  • Experience in payroll/fiscal administration and data entry and experience working in youth services. 


Knowledge, Skills, and Abilities:
 

  • Extremely detail oriented.
  • Ability to work as part of a team, troubleshoot and communicate effectively.
  • Commitment to Anti-Racism ideals and work.

PHYSICAL REQUIREMENTS, WORKING CONDITIONS, WORK FLEXIBILITY AND ACCOMODATIONS:
 

  • Office environment with fluorescent lighting, air conditioning, computers, and other standard office equipment.  
    Shared office space can be busy and loud.
  • Sufficient mobility to travel back and forth from the MSYEP office to various sites throughout the City.
