Volunteer Services Department Assistant (Program Associate)

Department

The John & Mable Ringling Museum of Art is located in Sarasota, Florida, and is a department of Florida State University. Learn more about The Ringling at https://www.ringling.org/about-ringling/careers/.

Responsibilities

This role typically:

  • Maintains volunteer database and records.
  • Coordinates volunteer recruitment and intake processes, including maintaining application and orientation materials.
  • Ensures volunteer hours are recorded accurately and administers volunteer perks.
  • Facilitates volunteer communication (email, phone, and in-person) 
  • Provides content, reviews, proofreads, and distributes bi-monthly Volunteer Newsletter.
  • Prepares work orders for programs and events.
  • Attends planning and weekly calendar meetings.
  • Monitors department expenses and assists Human Resources department with purchasing needs.

Less frequently this role:

  • Produces Volunteer Perks Report on a quarterly basis.
  • Supports the Volunteer Services Advisory Council by assisting with meeting scheduling, work orders, and calendar preparation.
  • May lead volunteer orientations and trainings as needed. 
  • Leads holiday decorating activities for the museum, with support from other departments.

This role reports to the Volunteer Services Program Coordinator.

Qualifications

Skills

  • Effective communication & customer service via phone, email, in-person with internal and external stakeholders
  • Previous experience with Volgistics, Raiser's Edge, Blackbaud or similar CRM/Volunteer Databases
  • Accurate and quick data entry

Education

  • HS diploma or GED
  • Four years' relevant and/or transferable experience 
    • or a combination of post high school education and experience equal to four years. 
    • (Note: higher education can substitute for experience at the equivalent rate.)

Helpful

While helpful, these skills are not required to be considered. Previous experience with: 

  • Customer service
  • Training and/or Orientations
  • Volgistics 
    • Volgistics is a database used by organizations to manage their activities in volunteer relationship management.

Considerations

Rate of Pay: $36,250 - $40,000 + based on the education, skills, and experience of the selected candidate.  Find out more about our comprehensive benefits and leave package under the "FSU Total Rewards" section. 

Working Hours: 8:00 AM to 5:00 PM Monday - Friday with a one-hour meal period, with some flexibility regarding working hours. May provide support to department led volunteer events. Works special events as needed to serve as onsite volunteer point of contact.

  • This position is based in Sarasota, FL and is eligible for a hybrid work schedule.
  • This is a USPS (University Support Personnel System) position. 
  • This position requires successful completion of a criminal history background check to include fingerprinting.
