US Office Administrator

We are currently seeking a proactive and detail-oriented Office Administrator to join our team at Rapsodo. In this role, you will play a crucial part in ensuring the smooth day-to-day operations of our office. Your responsibilities will include managing administrative tasks, coordinating schedules, organizing meetings, handling correspondence, and providing general support to various departments. The ideal candidate will possess strong organizational skills, excellent communication abilities, and a keen eye for detail. Roles & Responsibilities 

  • Coordinate office activities and operations to ensure efficiency and adherence to relevant regulatory requirements and company policies.
  • Management of the overall housekeeping of the office premises, office pantry, supplies, which include but is not limited to ensuring that pantry equipment is maintained and serviced regularly.
  • Provide secretarial and administrative support to the leadership team and North American GM.
  • Coordinate employee travel, visas, regulatory requirements, accommodations, and renovations when necessary.

Requirements

  • Proven experience in supporting senior executives, and office administration in a dynamic and evolving environment.
  • Proven experience in direct calendar management and expense reports for senior executives.
  • Excellent communication, interpersonal and stakeholder management skills.
  • Hands-on, driven, can-do and positive attitude, and willingness to help others.
  • Excellent organizational skills with superior attention to details and adept at working under pressure and tight timelines.
  • Strong MS Office Skills with a focus on PowerPoint, data-centric and must enjoy working in a fast paced, dynamic, and multi-cultural environment.
  • Ability to work independently and effectively across functional lines within a global and matrix environment.
  • Resourceful and independent problem solver with excellent stakeholder management skills.
  • Pro-active, meticulous and excellent organizational skills.
  • Absolute professionalism and discretion due to the exposure of sensitive information.
