Volunteer & Data Assistant

Major Responsibility:  The Volunteer & Data Assistant assists site leadership with the collection, review and submission of volunteer, YouthWorks and participant data. The employee will work with the Volunteer Coordinator to give feedback and provide direction to camp volunteers and YouthWorkers.

 

Reports To:  Volunteer Coordinator

 

Essential Functions:  

 

  1. Data Management
    1. Record and submit daily attendance into Google Drive
    2. Daily correspondence with participant parents and guardians about absent campers
    3. Maintain camp phone logs
    4. Administer exit surveys to withdrawn participants
    5. Collect and submit reviewed academic assessments and surveys to Assistant Director, Academics
    6. Distribute camper attendance and PBIS incentives 
    7. Maintain camper records including student performance, attendance and contact information
    8. Collect, review and submit participant, staff and caregiver satisfaction surveys
    9. Other duties, as assigned

 

  1. YouthWorks Liaison
    1. Ensure youth workers’ timesheets are properly completed and their time is entered into Google Drive
    2. Communicate with absent youth workers and their parents/guardians via phone and email for every absence
    3. Act as the point of contact for YouthWorks ESS
    4. Communicate any challenges with Site Coordinator and Volunteer Coordinator
    5. Distribute and collect YouthWorks paperwork
    6. Facilitate weekly YouthWorks check-ins and lessons

 

  1. Volunteer Engagement
    1. Facilitate weekly learning lessons, as provided by the Volunteer Coordinator
    2. Maintain volunteer attendance and hours records
    3. Enter volunteer data into Volgistics
    4. Communicate essential information and changes to volunteers
    5. Send weekly volunteer correspondence
    6. Communicate challenges to the Volunteer Coordinator
    7. Attend volunteer trainings, as needed
    8. Support volunteers’ needs (whether that be interpersonal conflict, technology challenges, needing a different role, etc.)
