Human Resources Administrative Assistant

Job Summary:  The Administrative Assistant will provide administrative and office support to the Chief Human Resources Officer. Duties include general clerical, receptionist and assist in project-based work.


Essential Functions:

  •  Perform administrative and office support to the Chief Human Resources Officer.
     
  • Perform general clerical duties to include but not limited to: photocopying, faxing, mailing, and filing.
     
  • Establish, maintain, and update files, records, certificates, and/or other documents.
     
  • Screen telephone calls, take messages and/or redirect inquires to the appropriate office.
     
  • Arrange meetings and conferences; create, transcribe, and distribute meeting agendas.
  • Make travel arrangements, such as plane reservations, hotel accommodations and auto rentals.
     
  • Take inventory and order office supplies as needed.  Keep adequate stock.
     
  • Maintain multiple calendars. Schedule and cancel meetings and appointments, as requested, using proper judgment as to time and location. Reserve conference rooms as requested. 
     
  • Meet and greet clients and visitors.
     
  • Prepare a wide variety of confidential correspondence and reports; drafts memos/letters and e-mails. 
     
  • Prepare monthly expense reports.
     
  • Support the human resources department staff in assigned project-based work.
     
  • Report PC, Printer, Fax errors to the Information Technology department.

Additional Responsibilities:

  • Performs other similar or related duties as required or assigned.

Job Qualifications: General Knowledge, Skills, and Abilities (KSA’s) required

  •  Experience in Microsoft Office Suite a must.
     
  • Must possess a professional, polished image through in-person and phone interaction.
     
  • Excellent communication skills, both written and verbal.
     
  • Well developed and multi-tasking, organizational skills, and detailed oriented.
     
  • Ability to work in fast-paced environment and work well under stress.
     
  • Ability to handle sensitive information and keep strictly confidential.
     
  • Candidate must be dependable and reliable.

Physical Demands: Physical, Mental and workplace Environment Conditions

  •  The employee is regularly required to sit; use hands to handle or feel; reach with hands and arms; and talk or hear. The employee is frequently required to stand and walk.  
     
  • The employee must regularly lift and/or move up to 5 lbs and occasionally lift and/or move up to 20 lbs.
     
  • Specific vision abilities required by this job include: close vision, distance vision, color vision & focus.

     
  • The noise level in this office is usually mild to moderate

Education and Experience:

  •  High school diploma
     
  • 2 years experience in an office environment
