The Oregon Department of Environmental Quality (DEQ) currently has a full-time opportunity for an Environmental Cleanup Administrative Specialist (Administrative Specialist 1) in Portland, Oregon.

The Land Quality programs support this mission by assessing and managing environmental cleanups, promoting manufacturing and recycling of non-toxic commercial products, safely managing the disposal of solid and hazardous wastes, administering the state’s underground storage tank and heating oil tank programs, and responding to spills of oil and hazardous materials.

 

The Environmental Cleanup program ensures those responsible for contaminated sites take appropriate action; undertakes cleanup when necessary; and supports voluntary and independent cleanups to facilitate property transfers and redevelopment. The environmental goal is to minimize exposure to contaminants that have been released into the environment and present and unacceptable risk to people or the environment.

What you will do!

You will provide administrative support for the Environmental Cleanup program and Emergency Response program policy development, planning, and current operational activities. This work includes providing general administrative support (memo composition, copying, mailing, scanning, faxing, data entry, etc.); maintaining Manager’s calendar; arranging travel and room reservations; providing logistical support and coordination in the planning of internal and external meetings, trainings, outreach efforts, emergency preparedness events, and advisory and work group activities; acting as a point of contact for general information inquiries and program specific requests for the Cleanup and Emergency Response Programs; collecting, compiling, and summarizing outcome base management data; providing administrative and logical support for the Emergency Response Unit Trailer, exercises and drills, and spill response events; and procuring equipment and maintaining inventory.

What are we looking for?

Minimum Qualifications: 2 years of secretarial or basic administrative support experience that included records processing, generation of documents, and gathering and sorting data.

 

Candidates who are most competitive will also reflect the following:

  • Demonstrated understanding of environmental justice and the historical impacts for marginalized and underrepresented communities; ability to take personal responsibility for increasing their knowledge of environmental justice and diversity, equity, inclusion, and belonging.
  • Demonstrated past experience or interest and ability to serve within the Incident Command System structure; Incident Command System / National Incident Management System (ICS 100-200 level) certification preferred.
  • Excellent verbal and written communication skills; ability to provide clear, concise, and compelling communication of policy and technical information tailored to the needs of diverse audiences; skill in writing and presenting clear and concise reports that include qualitative and quantitative analyses, recommendations, and conclusions to diverse audiences.
  • Strong organizational and time management skills with an ability to switch priorities or projects seamlessly; high aptitude for learning new things and an ability to pay attention to detail.
  • Experience with databases, including entering data, running reports, and maintaining data integrity; experience performing data entry accurately; ability to pay attention to detail.
  • Experience explaining rules and procedures, as well as experience processing requests for information.
  • Proficient in Microsoft Office: Word, Excel, Outlook, Access, and PowerPoint.

This position will be based out of the DEQ’s Headquarters office in Portland, however, the successful candidate may be eligible for hybrid work. This position will require 1 day a week in the office. The logistics of hybrid work will need to be worked out with the Hiring Manager prior to your hire and may be changed at any time given specific job duties and business needs. DEQ will provide necessary hardware (laptop, monitor, keyboard, mouse, and cell phone) for an employee to successfully work from home. At DEQ sites, you will have access to a workspace, however, it may be shared with other employees.

 

There will be occasional travel for fieldwork, meetings, training, conferences, and public hearings, some of which may include evening work and/or overnight stays.
