Litigation Administrative Assistant

The Institute for Justice, the national law firm for liberty, seeks an energetic and highly organized person to join the team as a Litigation Assistant for its headquarters office located in Arlington, VA. This is a unique opportunity for a non-lawyer to play a front-seat role in a public interest firm that litigates cutting-edge constitutional cases, stops government abuses, and champions individual rights in courts across the country. 

Responsibilities: 

Assist Chief Operating Officer, Senior Vice President, Litigation Director, and Deputy Litigation Director with various administrative tasks including: 

  • Managing to-do lists and providing task reminders
  • Scheduling meetings, coordinating attendance for moots, and making travel arrangements (approx. 4 trips/year)
  • Handling expense reports
  • Preparing materials for projects led by Senior Vice President and Litigation Director
  • Tracking and updating weekly status on litigation operations activities

Ensure the smooth operation of the litigation team by: 

  • Facilitating the signing of client and local counsel agreement letters
  • Coordinating materials and logistics for litigation lunches and meetings
  • Updating trackers and assisting with quarterly data as needed 
  • Managing team scheduling for various internal meetings 
  • Assisting with annual review process for approx. 50 litigators 

Additional responsibilities include: 

  • Updating Salesforce records with client and local counsel information
  • Completing spot projects for the team such as editing training materials and posting student internship opportunities on school job boards
  • Performing other duties as assigned.

Preferred Qualifications: 

  • Exceptional attention to detail. 
  • Ability to work proactively, juggle multiple tasks, prioritize, and problem-solve in a fast-paced environment. 
  • Exceptional communication skills, both written and verbal, with a strong customer service mentality and high degree of integrity and accountability. 
  • Self-motivated and able to manage competing deadlines while consistently producing error-free work. 
  • Strong Microsoft Office capabilities. 
  • Salesforce experience is a plus. 
  • Some experience in the legal field or exposure to legal terminology is a plus.
