Job Description: Front Desk Receptionist/Administrative Office Assistant

Grubman Shire Meiselas & Sacks seeks an experienced and poised full-time front desk Receptionist with administrative skills. Responsibilities include:

  • Operate multi-line telephone system to answer, screen and route calls in a timely and professional manner.
  • Take complete and accurate messages.
  • Greet clients and visitors professionally with a pleasant and helpful demeanor.
  • Announce clients and visitors appropriately and in a timely manner.
  • Ensure knowledge of personnel whereabouts and maintain accurate attendance sheets.
  • Assist with handling of incoming and outgoing mail and deliveries.
  • Perform a variety of administrative and ad-hoc tasks, including responding to emails from staff.
  • Maintain a safe, clean, neat reception area.
  • Prepare and maintain conference rooms before and after meetings.
  • Maintain kitchen and monitor inventory of kitchen supplies.
  • Handle confidential matters appropriately and with discretion.

The ideal candidate will be organized, responsible, adaptable, and self-motivated with a positive disposition. Interact comfortably and effectively with attorneys, clients, colleagues, and a wide array of contacts, including high level executives, talent, and other representatives. Excellent communication skills, attention to detail, including strong follow-up, good judgement, the ability to think through, evaluate and solve problems logically and efficiently. Able to contribute positively as part of a team, helping with various tasks as needed. Competency in Microsoft applications including Word and Outlook. Prior office experience required. Professional dress, and manner. Confidentiality and discretion are essential.
