GENERAL OVERVIEW:
The Assistant Administrator is a front-facing administrative position at Seven Sisters Midwifery, the first midwife-owned and operated birth center in Massachusetts. The right individual will need to be passionate about the birth center model of care and assist in the various administrative tasks to ensure smooth and efficient work and client flow within the practice.
DUTIES AND RESPONSIBILITIES WILL INCLUDE:
● Acts as first touch for the public and as such represents practice mission, vision, and values. Triages client care and incoming inquiries for birth care, lactation, pelvic physical therapy, and social work services. Handles routine requests for information and educates prospective clients regarding eligibility for care in the birth center setting including insurance coverage.
● Responsible for check-in/check-out tasks, which include greeting and directing clients; answering all questions in a kind and helpful manner within the scope of responsibility; obtaining signatures for all necessary forms; collecting insurance; registering clients in EMR and billing systems, and scheduling follow-up appointments.
● Manages appointment calendar for entire midwifery staff and specialists (IBCLC, PT, and LICSW).
● Monitors client flow and waiting room activity; keeps appropriate clinical personnel informed of client flow issues. Maintains a pleasant and welcoming environment of clinic space including reception area and exam rooms. Ensures exam rooms are prepared for each client being seen.
● Maintains accurate tracking of birth clients as pertains to practice capacity; alerts Service
Director and Business Manager of any issues.
SCHEDULE:
● Full time, on site, Mondays through Thursdays 8 AM - 5:30 PM, Fridays 8 AM- 2 PM
● Opening the practice at 8 AM is required, but we are potentially flexible on the length of the day
QUALIFICATIONS:
● Experience in customer service and/or education, preferably in a health care setting
● Passionate about reproductive health
● Proficient with Google Suite, experience with scheduling software a plus
● Demonstrated phone skills
COMPENSATION:
● $50,000 - $55,000 commensurate with experience
● 10 days PTO plus holidays
● 25% employer contribution towards health insurance premium
● 401(k) plan with employer matching
